Role description

The Proposal Coordinator will be a key player in a small dynamic marketing and graphics team. As a Proposal Coordinator you will be an integral part of diverse project teams and will work with different departments and specializations within the firm. Working with senior leadership you will assist with determining projects to pursue and put together proposal responses that align with Arcadis strategic plan. The successful candidate will be a proactive collaborativeteam player with great attention to detail and the ability to follow and improveprocess.

Role accountabilities:

The Proposal Coordinator will be responsible for reviewing and analyzing in-bound proposal requests (such as RFQ RFP EOI SOA etc.) to help prepare responses coordinating with the proposal leads professional technical staff and marketing/graphics team to prepare proposals which includes collecting and analyzing business related information writing editing and producing proposal documents. They will act as the primary point of contact during the proposal process creating a submission schedule for the proposal team in regard to communications and reminders on internal proposal deliverables and deadlines.

The Proposal Coordinator will contribute to the generation collection dissemination and storage of proposal-related information and coordinate team members and implementing internal deadlines to complete proposal forms custom resume alterations additional information from subcontractors etc. to meet the proposal due date.

Other responsibilities will include:

  • Assisting with final close-out processes and file management
  • Maintaining and updating CRM and content library with high quality content;
  • Assisting with non-technical writing for proposal efforts and provide editorial oversight including copy writing and editing;
  • Ensure proposals adhere to the companys editorial and brand standards and reflect a high level of professionalism and quality

Key Attributes:

The Proposal Coordinator will have excellent writing editing and proofreading skills (technical/proposal writing would be an asset). They will have the ability to read an RFP and respond to key requirements (would be an asset) and to collaborate with diverse professionals and varying technical disciplines. They will be accountable and able to take ownership over work with strong organization skills with great attention to detail.

They will be able to provide clear communication (written and verbal) with all levels of the business and have demonstrated strong project and time management skills as well as being:

  • Able to handle stressful situations with professionalism and composure;
  • A quick learner with the desire to continually learn and grow;
  • Proficient of Microsoft Office; and
  • Experienced with Adobe Creative Suite (would be an asset).
  • Prepared to work outside of normal business hours to meet delivery schedules
  • Able to work efficiently

Qualifications and Experience:

The successful candidate will have two years in the AEC Industry (preferred) and a post-Secondary Degree in English Marketing Communications or other relevant discipline (an asset).

The salary range for this position is $. The base salary represents Arcadis hiring range for this position. Actual salaries will vary and will be based on various factors such as location skills experience and qualification for the role.
