The Wilmington Public Schools is currently seeking an energetic detail-oriented and customer-service-focused individual to join our Central Office support team. This is a 12-month position with an 8.5-hour workday which includes a half hour unpaid position description and responsibilities are listed below: DUTIES AND RESPONSIBILITIES:Perform all receptionist functions and administrative assistant duties in support of the Assistant Superintendent of Curriculum and Staff Development and the Director of Human Resources. Demonstrate enthusiasm and interpersonal skills to relate well with students staff administration parents and the community including situations presenting interpersonal challenges. Function as receptionist for Central Office including greeting visitors to the administrative building and routing calls and inquiries to the appropriate district staff. With minimal direction independently draft and complete correspondence in support of the positions supervising administrators. Manage all employee data associated with the Aspen system including the addition of new hires address changes leaves of absence licensure updates employee transfers and employee exits. Provide support for mandated State and Federal Data Submissions by the district. Work in conjunction with the Office of Information Technology to update and verify relevant data. Process new hire paperwork and establish and maintain organized personnel files in accordance with district procedures. Assist with job postings and oversee the onboarding of all new hires including maintaining the active substitute list. Notify Wilmington Teachers Association of ongoing staffing updates. Evaluate and track Professional Development status of staff members according to contract requirements. Assist the Assistant Superintendent with the coordination and planning of district curriculum and professional development events. Create requisitions in Munis for purchase orders as requested. Manage monitor and track educator licensure status for all applicable district staff members. Maintain and monitor a current list of active CORI clearances; process CORI applications; manage fingerprinting results; and ensure all records are stored securely in compliance with applicable regulations. Possess strong knowledge of computers including the use of the Microsoft Office Suite (Word Excel PowerPoint Outlook Access etc.) Google and Aspen as well as the ability to use word processing data management information retrieval visual presentations and telecommunications tools. Stay informed about district activities; state and federal laws and regulations related to public education; district policies and procedures; and other information necessary to optimize job performance. Consistently maintain strict confidentiality regarding sensitive information at all times. Demonstrate the ability to manage multiple tasks simultaneously and adjust priorities as necessary. Perform all other duties as assigned by the positions supervising administrators.
