Position Overview:
We are seeking a highly motivated and organized individual to join our team as an Owner Liaison Assistant. This role is crucial in ensuring effective communication and collaboration between property owners guests and internal departments. The successful candidate will play a vital role in supporting asset management activities and maintaining excellent relationships with property owners. This role will develop into the full Owner Liaison quickly and will only be an Assistant through training.
Qualities and Skills:
- Excellent communication skills in English (Spoken/Written) and Japanese (Spoken minimum)
- Ability to speak Chinese is not required but is still highly valued
- Exceptional interpersonal skills with a customer service orientation
- Detail-oriented and highly organized capable of managing multiple tasks simultaneously
- Strong problem-solving abilities with a proactive and solutions-oriented mindset
- Ability to work independently and as part of a team in a fast-paced environment
- Proficient in using technology including Microsoft Office Suite and property management systems
- Quick learner and able to adapt to changes easily
Key Duties and Responsibilities:
- Serve as the primary point of contact for property owners addressing inquiries concerns and requests promptly and professionally
- Maintain regular and clear communication with property owners providing updates on property performance occupancy rates and maintenance activities as required
- Preparing and overseeing Annual General Meetings (AGMs) for managed properties with Management Associations
- Update and execute Management Agreements and Management and Letting Agreements for property owners as needed
- Work closely with the Property and Maintenance teams to ensure that work orders purchase orders and maintenance requests are promptly actioned
- Assist with the organization and documentation of lease agreements invoices and other legal and financial documents
- Collaborate with internal departments to ensure seamless guest experiences and property operations
- Coordinate and schedule property viewings for potential buyers or investors
- Secure new properties for management and letting in the Hirafu Rusutsu and Hakuba areas
Requirements:
- Fluency in English (Written/Spoken) and Japanese (Spoken N3 minimum) is essential
- Minimum 2 years experience in customer service property management real estate hospitality or a similar role
- Excellent organizational and time management skills
- Proficiency in using Microsoft Office Suite and property management systems
- Valid drivers license
- Ability to work flexible hours including weekends and holidays as required
- Valid Visa to work in Japan OR fulfill the requirements of obtaining a sponsored visa (Min. 10 years experience in a relevant field or a bachelors degree required)
Renumeration:
- Salary package between 3.5 - 4 million yen/year
- Subsidised staff accommodation available
- Lift Pass Program available/ winter allowance
Working Hours: Standard working hours of 5 x days per week and average of 40 hours per week. Weekend work will be required during winter months. Hours will be flexible depending on operational needs however in general are from 8:30am to 5:30pm.
As Owner Liaison in winter months particularly you will be required to schedule yourself based on owner arrivals/departures and may require overtime.
