Summary: As the first point of contact for the College the Receptionist will greet customers and other visitors on the phone and in person. The individual in this role is to: provide a positive first impression of the College; operate the electronic switchboard and multi-phone line experience to route incoming calls; direct callers to appropriate personnel and complete a variety of administrative tasks - including but not limited to collating and preparing mailing and ordering office supplies. The candidate is also expected to be able to manage visitor flow efficiently in a modern office.
This non-exempt position will report to the Office Services Manager in the Division of Finance and Facilities. It is based in our Chicago office and is onsite.
The anticipated salary range for this position is $46000 - $50000 (paid hourly commensurate with related experience).
Responsibilities:
- Call Management: Switchboard and multi-phone line experience. âAnswers incoming calls in a professional manner determines their purpose and routes to the appropriate Division Department or staff member.
- On-site Front Desk Coordination: âDirects and announces visitors; issues and tracks Photo ID/FOBs as necessary. Distributes Badges for all Visitors Contractors Vendors and Temps.
- Office Supply Coordination: receives places and distributes office supply orders.
- Mailing Coordination: Collates and prepares mailings as assigned.
- Updating employee cube name plates and photos on a weekly basis; Assist new mothers with Lactation Room scheduling (coordinating and maintaining); Update postings in central copy areas on each floor on a monthly basis or as needed.
- Update ACS subject directory which consists of all departments and staff; Update ACS Photo Binder of current and non current employees; Must have knowledge of Microsoft Word Excel and Outlook.
- Other duties as assigned.
Required Education and/or Experience:
- High School Diploma or equivalent is required. Associates Degree preferred.
- Minimum of 1 years of related work experience is required. âSwitchboard and/ or receptionist training is a plus.
- Must have excellent communication skills and interact professionally with external and internal customers.
- Bilingual in Spanish is a plus.
- Must be able to multi-task.
- Working knowledge of Microsoft Office Products (Outlook Word Excel and PowerPoint)
