Description

Position Summary:
The Office and GuestExperienceCoordinatorplaysa critical role in ensuring the smooth operation of the corporate office while supporting executives visitorsand guest-facing initiatives. This positionis responsible formanaging day-to-day office operations coordinating administrative processes and projects andmanagingfacilitiesand guest interaction systems. The ideal candidate is highly organized detail-oriented proactive and capable of balancing multiple priorities in a fast-paced environment while providing a professional and positive presence both internally and externally.
Type:Hourly/ Full-time
Pay scale:$28 - $32/hour
Duties and Responsibilities
Responsibilities include but are not limited to:
  • Office operations
  • Manage daily office operations including calendars conference room scheduling mail email voicemail office cleanliness and supply inventory.
  • Coordinate foodand beverageand other needs for meetings and corporate events.
  • Provideexecutive and administrative support
  • AssistExecVP with administrative tasksandspecial projects
  • Prioritize and manage projects and tasks across multiple platforms includingMeisterTask Microsoft Lists and SharePoint.
  • Enhance guest experience and loyalty
  • Audit reservations toidentifyopportunities for guest delight
  • ManageGlowforgeand othercreativerequeststo create memorable guest experiences.
  • Support VIP and loyalty members with bookingsperks and tailored offers.
  • Respond professionally to guest inquiries via phone email or in person.
  • Manage the reservation line and be the first point of contact for reservations that come in through the phone andinfo@emails.
  • Coordinate Repair and Maintenance requests
  • Assign jobs and tickets and coordinate vendors as needed inMaintainX
  • Manage R&M part inventory
  • EnsureMaintainXis being properlyutilized withaccurateandappropriate information
  • Assistwithadditionalduties as assigned
  • Perform other administrative or project-based tasks asneeded.This may include project-based tasks event planningor internal communications.
Qualifications:
  • Minimum 3 years of prior executive administrative or office management experience
  • Strongproficiencyin Microsoft Office Suite
  • High School Degree or equivalent
  • Hospitality experience preferred

  • Extremely organized and detail-oriented with strong multitasking prioritization and time-management skills.
  • Able to work independently make sound decisions andanticipatethe needs of others.
  • Strong written and verbal communication skills with a positive welcoming and professional demeanor.
  • Able to balance administrative guest-facing and operational responsibilities whilemaintainingcomposure in a fast-paced environment.
  • Provide exceptional service to internal team members and external guests reflecting RMDs hospitality culture and standards.
  • Build effective working relationships with all departments vendors and partners.
  • Exercise discretion with confidential information andmodelteamwork accountability and a solution-oriented mindset.
  • Operate standard office equipment for prolonged periods andmaintaina professional appearance.
  • Remain calm under pressure show initiative in problem-solving anddemonstrateintegrity and reliability in all interactions.
Certificates Licenses and Registrations:
  • Anti-harassment and nondiscrimination 1-hour class.
Physical Requirements
  • Must be able to travelfrequentlybetween venues within San Diego County; occasional evening and weekend availabilityto support restaurant operations. Work is performed in both office settings and onsite in active hospitality environments.
  • Must be able to sit stand or walk for extended periods while performing administrative or guest-service duties.
  • Must be able to lift move or carry up to25 poundssafely (e.g. office supplies shipments event materials).
  • Must be able to bend stoop and reach as needed to access filing cabinets storage and supplies.
