Overview
We are seeking a highly organized and bilingual Admissions Assistant to join our Admissions
Office. As a key member of the Admissions Office you will support the admissions process
through data management event coordination and direct communication with prospective
students families and schools. This position requires strong administrative and computer
abilities excellent communication and the capacity to manage multiple tasks in a fast
paced environment while working effectively in both Japanese and English.
Responsibilities
Prepare and manage admissions-related data and records
Create and manage applicant files
Maintain the admissions portal account to collect and manage applicants and new
students data
Create and organize materials for the Admissions Manager and Admissions
Committee
Collaborate in planning and carrying out promotional and admissions events in New
York Tokyo Osaka and other locations including entrance examinations
information sessions open houses and other admissions activities
Coordinate campus tours for prospective students and families
Communicate with prospective students families and schools via email admissions
portal and phone
Coordinate the production and management of admissions materials
Take on additional projects and responsibilities as assigned by the Admissions
Manager or the Business Officer
Serve as a Designated School Officer (DSO) providing support for student visa
matters under the supervision of the Primary Designated School Official (PDSO).
Requirements
Minimum of 3 years of administrative experience in a business environment
Bilingual in Japanese (native level) and English (business level)
Advanced proficiency in Microsoft Excel (including formulas such as VLOOKUP
RANK and FIND) with proficiency in other Microsoft Office Suite applications (Word
PowerPoint)
Proficiency in Google Workspace (Docs Sheets Slides Forms Meet and shared
drives)
Strong analytical skills
Excellent verbal and written communication skills
Strong interpersonal and customer service skills
Bachelors Degree or equivalent from four-year College or University
