POSITION TITLE: Administrative Assistant Middle School
FLSA: Non-Exempt
REPORTS TO: Building Principal
TERMS OF EMPLOYMENT: 210 days with benefitsand specified in the Classified Agreement.
QUALIFICATIONS:
High school diploma required.
Additional preparation and/or college work related to educational office training preferred.
Strong computer skills and proficiency in Microsoft Office (Word Excel PowerPoint Outlook).
Use of 10-key calculator by touch; accuracy with numbers.
Effective interpersonaland organizational skills.
- Ability to lift 40pounds to shoulder height occasionally.
ESSENTIAL JOB FUNCTIONS:
Prepare and enter all purchase requisitions and purchase orders; checks shipment deliveries.
Collect all moneys for student fines clubs classes fundraisers pop machines etc.
Prepare daily receipts and deposits; reconcile monthly expenditure reports; process collection of returned checks.
Open sort and distribute interoffice and regular mail.
Distribute monthly payroll checks; submit classified payroll time cards.
Assist with preparation of building budgetand input into financial system.
Prepare items for teacher orientation and teacher handbook.
Monitor building use reports for scheduling activity conflicts etc.
Assist with preparation of Registration Parent Orientation and Parent/Teacher Conferences.
Maintain school calendar; coordinate schedule for school assemblies and programs.
Answer telephones and route calls to appropriate personnel.
OTHER JOB RESPONSIBILITIES:
Compose and type confidential and general correspondence reports memorandums forms statistical data etc.
Perform budgeting requisitioning and bookkeeping tasks following established district rules and regulations.
Prepare quarterly parent newsletter and appropriate bulk mail postage.
Monitor copy and fax machines telephones and soda equipment. Place service calls as necessary.
Assist in preparation of building Crisis Response Manual and staff emergency phone list.
Assist with textbook inventory and rebinds.
Maintain supervisors calendar as requested.
Attend meetingsand trainings as required.
Work overtime as required.
Make travel arrangements for supervisors or other staff as requested by administration.
Demonstrates effective human relations and communication skills.
