PRODUCTION LEAD JOB DESCRIPTION
Job Title: Production Lead
WAGE/HOUR STATUS: Nonexempt
FUNDING SOURCE: General Fund
REPORTS TO: Director of Enterprise Content Management
PAY GRADE: Facilities 06
DUTY DAYS: 261
DEPARTMENT: Administrative Services

This position is eligible for a Letter of Assurance
PRIMARY PURPOSE:
Coordinate schedule and oversee daily production operations for the Print Shop and Mail Center ensuring efficient job flow high-quality output and timely delivery of print and mail services districtwide. Support archival document digitization provide technical guidance to production staff and serve as the operational lead for print production software equipment troubleshooting and workflow management.
QUALIFICATIONS:
Minimum Education/Certification:
- High School Diploma or GED required.
- Associate degree in related field or industry certification preferred.
Special Knowledge/Skills:
- Strong customer service communication and organizational skills.
- Ability to coordinate and prioritize multiple production requests and deadlines.
- Working knowledge of digital printing file preparation finishing processes and mail operations.
- Ability to identify and troubleshoot basic hardware/software issues related to production equipment.
- Proficiency with Microsoft Office Suite; ability to learn specialized production software (e.g. WebCRD QDirect Fiery/FreeFlow ReadyPrint).
Minimum Experience:
- Five (5) years of experience in document production print shop operations or related field.
- Experience supervising or coordinating production workload preferred.
MAJOR RESPONSIBILITIES AND JOB DUTIES:
- Coordinate and schedule daily production workflow for Print Shop and Mail Center to ensure timely completion of jobs.
- Ensure production staff have complete job information materials and support to work successfully.
- Audit completed work for accuracy print quality finishing standards and correct packaging or delivery.
- Provide technical support and mentorship to production staff including guidance on print methods software tools finishing equipment and troubleshooting.
- Program and operate high-volume printing and scanning equipment; support staff in resolving equipment performance issues.
- Assist with pre-press activities such as reviewing files confirming print readiness preparing layouts and validating job specifications.
- Support scanning and digitizing of archival documents according to district standards.
- Coordinate and support mailroom functions including sorting metering certified mail and large-scale mailouts; ensure accuracy in routing and department billing.
- Communicate effectively with schools and departments to clarify job details resolve discrepancies and provide customer support.
- Maintain inventory of production supplies including paper toner/ink finishing materials and mailroom consumables.
- Assist with identifying equipment performance issues and coordinate with vendors or contractors for repairs and maintenance.
- Prepare and maintain production records operational reports and workflow documentation as required.
- Follow all rules regulations and policies of Irving ISD and comply with directives.
- Contribute to continuous improvement by recommending workflow quality or equipment enhancements.
SUPERVISORY RESPONSIBILITIES:
Oversee the workload of production staff and provide technical direction and support.
WORKING CONDITIONS:
Mental Demands/Physical Demands/Environmental Factors:
Tools/Equipment Used: High-volume printing presses; digital printers; scanning equipment; wide-format printers; finishing and bindery equipment; mail metering and inserting systems; standard office equipment; personal computer and peripherals.
Posture: Prolonged standing; sitting; kneeling; squatting; bending; stooping; pushing/pulling; twisting.
Motion: Repetitive hand motions; keyboarding and use of mouse; frequent wrist flexion/extension; walking; climbing stairs/ladders; grasping/squeezing; overhead reaching; speaking clearly; visual acuity.
Lifting: Lifting and carrying up to 50 pounds or more with assistance as required.
Environment: Work indoors with exposure to constant noise from production equipment; work with frequent interruptions; occasional exposure to hot or cold temperatures; work on slippery or uneven surfaces; work alone at times.
Mental Demands: Work with frequent interruptions; maintain emotional control under stress; ability to work under pressure and meet deadlines; flexibility in performance.
Safety: Contribute to the prevention of accidents by following district safety rules; wear PPE as required; report injuries or unsafe conditions immediately; participate in ongoing workplace safety efforts.
