PRIMARY DUTIES & RESPONSIBILITIES

Salary to be commensurate with experience

Hiring pay for this position is $29.14- $36.42/hour

The Section Support Specialist of the City of Aurora Public Safety Training Center (In-Service) provides essential administrative and operational support to ensure the departments training programs run efficiently and meet all regulatory requirements. This role plays a key part in maintaining training records managing the Learning Management System (LMS) and ensuring compliance with POST training hour regulations for all officers.

Core duties include preparing materials for internal and external presentations coordinating in-service training schedules processing documents and reports conducting monthly system audits and responding to information requests. The position also involves setting up and registering classes in the LMS assisting with registration changes and ensuring all officers complete department-required trainings through reporting reminders and follow-up.

Unit-specific responsibilities include video editing for training purposes coordinating meetings handling discovery and document requests with heightened confidentiality and performing Notary duties. The Support Specialist may also assist with academy activities as needed ensuring seamless coordination between the training unit and other areas of the department.

This is a fully in-person position Monday through Friday during regular business hours. PRIMARY DUTIES & RESPONSIBILITIES

  • Prepare information for internal use and external presentations at meetings.

  • Receive and respond to requests for information.

  • Perform other related duties as assigned.

UNIT SPECIFIC RESPONSIBILITIES

  • Maintain accurate and up-to-date training records.

  • Manage the Learning Management System (LMS) for in-service training.

  • Monitor and ensure all officers remain in compliance with POST training hour requirements.

  • Assist in coordinating in-service training schedules and assignments.

  • Process documents and prepare reports.

  • Conduct monthly audits of the LMS to ensure all training is accurately recorded.

  • Coordinate and set up meetings.

  • Schedule classes and manage registrations within the LMS.

  • Edit and produce training videos.

  • Manage building space reservations

  • Ensure officers complete all APD-required training by running reports sending reminders and following up as needed.

  • Assist officers with registration updates or changes for in-service training.

  • Maintain heightened confidentiality with discovery materials and document requests.

  • Record transactions and process required paperwork.

  • Take and transcribe complex and confidential reports as needed.

  • Perform Notary services for the APD.

  • Assist with various academy-related tasks as required.

MINIMUM QUALIFICATIONS & WORKING CONDITIONS

Education:

  • High school diploma or GED

Experience:

  • 3 years of general clerical experience including data entry and customer service experience

Preferred Qualifications:

  • Experience working in a judicial or law enforcement environment

Knowledge:

  • Knowledge of office practices and procedures

  • Manual and computer filing systems

  • Advanced knowledge of business English spelling and math

  • General office equipment and personal computer with related software applications

  • Microsoft Office Suite (Intermediate)

Skills:

  • Efficiently and accurately key information using a keyboard and skills in performing data entry

  • Strong interpersonal and organizational skills

  • Composition grammar and spelling

  • Demonstrate proficiency in computer applications including word processing spreadsheets report generation and maintenance of databases.

Abilities:

  • Establish and maintain effective working relationships with employees and citizens

  • Communicate effectively verbally and in writing

  • Understand oral and written instructions

  • Handle stressful situations with tact and diplomacy

  • Work well under pressure and meet deadlines with little supervision

Licenses and Certifications Required:

  • CCIC/NCIC Clearance

  • Notary Certificate

Licenses and Certifications Requested:

  • Drivers License

  • Defensive Driving completed through COA within 6 months of employment

WORKING CONDITIONS

  • Occasional Standing/Walking- Occurs up to 31 minutes to 2.5 hours per shift

Essential Personnel:

When a local announcement of emergency or disaster is declared by the City all City of Aurora employees may be required to work as essential personnel.

Physical Demands:

  • Medium work that involves moving no more than 40 pounds with or without assistance at a time

  • Frequent lifting carrying walking and standing

  • Hand/eye coordination to operate computer keyboard

  • Vision to read and interpret reports documents and other written information

  • Frequent speech communication and hearing to maintain communication with employees and citizens

Work Environment:

  • Works primarily in clean comfortable office/cubicle environment with shared equipment

Equipment Used:

  • Frequently uses computer keyboard and telephone fax machines and copier

  • This position may require the incumbent to occasionally use personal equipment (e.g. vehicle cell phone tools etc.) in the course of their employment
