CORE JOB FUNCTIONS
Develops and coordinates programs with medical service providers in order to improve the hospitals competitive position
Educates the pre-hospital care provider community in order to keep them informed of the changes in the standards of care they are required to deliver market the hospital full ranges of services to the provider community and develop a stronger relationship between the hospital and these providers
Acts as customer service liaison between the hospital and service providers with the objective of establishing and strengthening relationships as well as increasing the number of patients that these services bring to the hospital
Develops and coordinates marketing and educational programs aimed at promoting and increasing the full range of services within area hospitals
Maintains hospital referral base and implements strategies aimed at increasing and improving performance outcomes in all hospital services
Sustains relationships with referring physicians and nursing staff and initiates changes in practice to increase the quality of the hospital services
Establishes multi-disciplinary councils to develop standards of practices that will optimize outcomes
Participates in collaborative hospital committees departmental/administrative meetings in DSA hospitals as assigned
In consultation with the hospital services leadership team develops organ and tissue information and promotional materials for use by the department for nursing physician ongoing training needs.
In consultation with the hospital services leadership team develops promotional materials and activities for use by the department for national organ and tissue awareness month.
Assist with content development for Key Performance Indicators and report them to department leadership.
Prepare presentations and presents status reports for hospital services leadership.
Develops new methods of communication in order to maintain and improve hospital communications throughout LAORAs service area.
Acts as a mentor for new hospital services staff evaluating the progress of the new staff person and giving constructive written and verbal feedback about specific goals and objectives. Reports strengths weaknesses and problems to hospital services leadership
Assist with staff training and onboarding orientation
Acts as a resource and guide for the hospital services team on specific policies procedures and duties as assigned by hospital services leadership.
Assists as assigned in on-site response for initial donor referrals
Other duties as assigned
MINIMUM QUALIFICATIONS
Bachelors Degree in healthcare nursing social work nonprofit management communications or similar field.
Minimum two years experience working in OPO/Tissue Banking field is required.
Experience with physician-relations is highly preferred.
DEPARTMENT SPECIFIC FUNCTIONS
Create and maintain key hospital relationships with physicians nursing administration and other hospital service lines by providing a high level of service through timely and ongoing communication and visibility. The Hospital Services Specialist will continually seek opportunities to ensure optimal donation processes and outcomes.
Work collaboratively with hospital leaders administrators physicians and nurses to build comprehensive donation systems that clearly identify policies procedures and resources. Ensure that all aspects of the organ and tissue donation process are understood and outcomes exceed regulatory requirements.
Participate on appropriate hospital-wide committees recruit key hospital personnel including at least one critical care physician to serve as donor program champions and advise on policy and procedures.
Identify opportunities for process improvement and work with appropriate staff to create a culture of donation within the hospital and surrounding community. Develop and maintain client hospital profiles conduct needs assessments to identify challenges in the donor process and implement customized strategic plans to increase donation with the hospital.
Implement hospital strategic plans throughout the year while providing updates on progress and executing necessary adjustments.
Round regularly in the hospital including the Emergency Department and Intensive Care Unit(s). Provide on-site referral follow up within two business days for on-going organ referrals. Document and update pertinent health information in LAORAs medical record system. Collaborate with the medical team review the plan of care advocate for clinical interventions facilitate effective communication and coordinate with LAORA clinical team as appropriate.
Proactively provide assistance to donation team members by anticipating challenges intuiting opportunities and responding on-site to the absence of a clinical team member facilitate the initial referral process lead team huddles coordinate the donation discussion advocate for brain death testing and/or medical interventions as appropriate with a physician in order to ensure the opportunity for donation is preserved.
Conduct and evaluate medical records to determine donor potential review missed referrals and evaluate efficiency of the hospital donor program. Compile analyze and report data to hospital partners on a monthly basis with the aim of improving donation processes and conversion rates.
Provide regular feedback to hospital clients and LAORA team members on results from medical record reviews quality assurance mechanisms donor referral and recovery information Hospital Services strategies and plans for future activities. Evaluate client satisfaction promote best practices and serve as an expert resource on the donation process.
Responsible for the development and creation of visual awareness of donation in all hospitals.
Maintain revise and/or create as necessary Memorandum of Understandings (MOUs) Organ and Tissue donation policies and other pertinent procedural documentation. Responsible for maintaining a current file of each hospitals brain death withdraw of support and any other relevant policies. Responsible for ensuring each of the above policies meets the clinical needs of the organization and current policies are uploaded to the appropriate internal electronic system.
Obtain and implement electronic medical record (EMR) access for LAORA staff at each assigned hospital. Facilitate opportunities to enhance the medical record process with hospital Information Technology and LAORA staff.
Will mentor and serve as a trainer for new Hospital Services Specialists on all aspects of the Hospital Services role. Evaluate the progress of the new staff person and give constructive verbal and written feedback about specific goals and objectives. Identify areas in which further training is indicated and provide feedback on progress. Utilize effective communication and relationship skills to develop a positive mentor relationship with trainee.
Provide regular updates to the Communications department regarding hospital achievements for the newsletter brochures information packets and the annual report.
Demonstrate advanced proficiency in applying each hospitals brain death withdraw of support and any other relevant policies. Responsible for helping review each of the above policies to ensure each meets the clinical needs of the organization.
Participate in interviewing screening and processing potential new hires for Hospital Services positions under the direction of the Hospital Services Manager.
Serve as Hospital Services Team Lead (on-call) to assist with any hospital needs dictated by the Administrator-On-Call Medical Director or Organ Procurement Managers during active organ donation cases.
As the Hospital Services Team Lead act as support resource to other Hospital Services Specialists (HSS) with guidance on hospital issues. Provide assistance and supervision to the hospital services staff in all aspects of the donation process to assure adherence to LAORA policy and procedures as well as accepted industry best practices.
Supports the Hospital Services Manager in conceiving of and implementing innovative goals and programs for hospital education as an effort to decrease process improvement issues and increase engagement with hospital partners in the designated service area.
Attends leadership meetings and serves other Hospital Services leadership functions in the absence of the Hospital Services Manager.
