Role Summary

The post-holder will be responsible for the day-to-day coordination and administration of key MTC activities maintaining up to date communications with stakeholders databases the organisation and coordination of meetings. He/she will work closely with MTC Service Manager and Production Manager in all matters of administration and operations and will be expected to provide an efficient and effective central point of contact and to facilitate the development and implementation of new business.

Main Duties

MTC Support Officer will coordinate smaller projects in their entirety or manage elements of larger projects or assist in the management of one or more larger projects through the provision of well-developed and timely project management support. You will be expected to work proactively and use your initiative and planning skills to work towards tight timelines and priorities to ensure progress is maintained as expected identify any issue and propose solutions.

You will be expected to:

  • Coordinating donor recruitment process from receiving the request to donor recruitment in the event of the absence or unavailability of the relevant personnel.
  • Facilitating the Coordination of FMT delivery to NHS sites in the event of the absence or unavailability of the relevant personnel.
  • Maintaining MTCs donors and patients database in the event of the absence or unavailability of the relevant personnel.
  • Being flexible with working hours (Potential early start).
  • Acting as the Quality Control releasing officer for Specials under training.
  • Approval and monitoring of suppliers goods receipt the designation and monitoring of storage areas/units for materials and products.
  • Installation and validation of new equipment maintenance calibration and cleaning.
  • Development and strict implementation of written procedures and documents forming part of the MTC quality management system training of technical staff on new developments and contribution to internal/external audits and regulatory inspections including corrective and preventative actions.
  • Assisting the Quality Manager with the identification of assessment root actions non-conformances related to manufacture or quality control risk cause analysis implementation of corrective and preventative actions.
  • Assisting the Quality Manager with the instigation and implementation of the appropriate procedures for controlling changes related to manufacture or quality control.
  • Assisting the Quality manager with trending of environmental monitoring data quarterly.
  • Completion maintenance and appropriate management of all the records associated with the quality related duties carried out and ensuring the appropriate review and sign off.
  • Assisting in the implementation of laboratory Health and Safety.
  • Be willing to be trained in FMT production activities and be able to verify documents
  • Preparing Certificates of Analysis.
  • Supports the Universitys sustainability agenda through resource efficient working.

Required Knowledge Skills Qualifications Experience

  • A graduate with a good honours degree with experience in health care and/or the higher education sector.
  • Proven relevant administrative skills with experience of coordinating and management support of scientific or clinical projects.
  • Have deep understanding of the supply of unlicensed medicinal product (Specials) MHRA guidance Note 14 2014 Human Medicine Regulations 2012 (SI 2012/1916) Regulation 167 of the human Medicinal Regulations 2012.
  • Experience of GMP and pharmaceutical quality management system.
  • Clear and articulate communication and high-level interpersonal skills are an essential part of the role in order to establish the necessary key relationships with people and organisations both internally and externally and at all levels.
  • Experience of external communications particularly producing promotional material; web-based and conventional.
  • Excellent IT skills particularly in spreadsheets and database management and the ability to develop and implement sophisticated output and outcome monitoring and reporting systems.
  • Good attention to detail and methodical approach to work with the ability to prioritise workloads in order to meet deadlines and have demonstrable problem-solving skills.
  • Excellent writing and minute-taking skills.
  • An ability to work proactively with little supervision under pressure and to deadlines.
  • Ability to work on own initiative and to make decisions confidently whilst recognising their limitations with effective team working.
  • Experience of working in a medical research environment and an understanding of scientific/medical terminology.
  • A high degree of professionalism tact and diplomacy and the ability to exercise discretion regarding the handling and management of sensitive information/issues.
  • A high degree of initiative personal judgement resourcefulness flexibility and a self-motivating approach.
  • Ability to work effectively in a large complex organisation and to develop a good understanding of how theUniversityand higher education institutions work.
  • Knowledge of the protected characteristics of the Equality Act 2010 and how to actively ensure in day-to-day activity in own area that those with protected characteristics are treated equally and fairly.

Dimensions

Roles at this level will require expertise and a detailed understanding of methods systems and procedures in an administrative and pharmaceutical quality management will either use specialist knowledge or have more of a planning/co-ordination/project role or a role which is supervisory in nature where you may manage a team doing similar kinds of will have the opportunity to exercise a high degree of personal responsibility and initiative which you will use to resolve queries; you will use your judgement to deal with unforeseen problems and circumstances all with limited guidance/supervision.

You will be expected to be flexible as required in supporting your department and wider University.

The aim of the MTC is to become financially self-sustainable and the post holder will be expected to manage and oversee the Centre budget and also contribute to the set up and delivery of new services and clinical trials.

The post holder will have no direct line management responsibilities but will be providing management support to the Centre Lead and Production Manager.

The post-holder will interact with internal and external stakeholders at various levels. Senior academic/clinical academic staff ATF staff Research & Knowledge Transfer team finance personnel clinical trials teams R&D/clinical staff at NHS sites across the UK Trusts regulatory inspectors.

Planning and organising

  • Work activity will be determined by the Centre Lead and Line Manager working with the MTC Operational Group.
  • The post holder is expected to work towards tight deadlines priorities and work schedules within the directions provided by the Line Manager and Centre Lead to manage develop and implement their work objectives.
  • The role will require elements of forward planning but the post holder will also be required to be reactive to enquiries or problems.
  • The post holder will plan with other stakeholders the most efficient use of resources and will be expected to use the most appropriate techniques to ensure results delivery.

Problem solving and decision making

  • Based on their own experience the post holder will be expected to proactively anticipate identity and assess problems and weaknesses within their work area and to make appropriate suggestions to solve these and coordinate a resolution.
  • He/she will be expected to take responsibility for assessing more serious issues and deciding whether they able to resolve them independently or seek the advice of more senior personnel for resolution or escalation.
  • The post holder would be expected to;
  • Liaise with the MTC Operational Group for decisions about the delivery of new activities new potential collaborations or opportunities and the planning and delivery of new activity such as workshops and seminar series.
  • Anticipate and identify issues in own area based on experience.
  • Make appropriate suggestions for improvements and implement these when agreed in own area.
  • Facilitate change and articulate the implications and benefits of change to others.
  • Focus on determining short-term priorities of work area and how to maximise quality efficiency and continuity.

  • Quickly develop an understanding of their working area and how it contributes to the success of the University.
  • Display an interest in how the University operates beyond own working area; develop and share this knowledge with others.
