Job Title: Medical Records Technician Release of Information (ROI)

Location: Temple Texas
Duration: 6 months and extendable
Shift Schedule: Monday Friday 8:00 AM to 4:30 PM CT
Shifts per Month: Full-time schedule (40 hours/week)
Experience Needed:
- Minimum 1 year of full-time experience performing Release of Information (ROI) functions in a medical setting
- Experience using VA systems such as VistA CPRS ROI software and VistA Imaging
Special Skills:
- Ability to review requests for completeness accuracy and validity
- Strong understanding of PHI protection and security protocols
- Ability to navigate electronic and paper medical records
- Proficiency with eROI VistA CPRS and health record tracking systems
- Ability to categorize ROI requests (legal insurance patient continuity of care etc.)
- Strong communication skills when interacting with Veterans providers attorneys and third-party requestors
- Ability to meet strict deadlines and accuracy standards
- Ability to manage high volumes of requests and maintain audit-ready documentation
Credentialing / Onboarding Time: Approximately 6 8 weeks
Responsibilities:
- Knowledge of: HIPAA Privacy Act of 1974 38 U.S.C. 7332 (sensitive records) FOIA requirements VA ROI policies and VHA directives.
- Process and validate requests for medical records in compliance with HIPAA Privacy Act VA policies and 38 U.S.C. 7332.
- Retrieve and release PHI using VistA CPRS eROI VistA Imaging and SSA ERE systems while maintaining accurate documentation and audit trails.
- Meet required timelines including processing routine requests within 20 business days and urgent requests the same day.
- Maintain high accuracy in disclosures and ensure full privacy compliance.
Coordinate with clinicians Privacy Officers HIMS legal billing and VBA on complex requests. - Escalate unclear or sensitive requests to COR or Privacy Officer when needed.
Participate in quality reviews complete required VA training and follow all security protocols.
Miscellaneous:
- Must comply with VA policies for confidentiality privacy cybersecurity and record safeguarding.
- Must be able to obtain and maintain VA PIV card and NAC background clearance
- Considered a custodian of records under the Privacy Act; responsible for accurate handling and disclosure of PHI.
- Violations of PHI handling may subject personnel to civil or criminal penalties under HIPAA and VA regulations.
