Job Summary/ Objective:

Performs difficult professional and administrative work as an assistant for the Department of Facilities & Environmental Services. Incumbent is assigned specific program or project responsibility; does related work as required. Work is performed under the general direction of the supervisor.

Supervisory Responsibilities:

  • None.

Essential Functions:

  • Analyzes divisional/departmental documents and prepares reports using Microsoft Office Suite tools.
  • Assists in the preparation and monitoring of divisional budgets and related procurements.
  • Oversees and maintains the divisions assigned purchase card use.
  • Operates and maintains the departments timekeeping system resolves discrepancies and liaises with Human Resources to correct issues.
  • Creates analyzes and maintains performance/productivity reports as required.
  • Researches and evaluates existing and proposed administrative or operational policies practices and techniques and recommends improvements.
  • Monitors and analyzes complex problems.
  • Researches and writes monthly annual and special reports as required.
  • Train departmental staff on responsibilities for various processes and procedures including legal obligations and deadlines.
  • Performs related duties as required.

Competency: Knowledge/ Skills/Abilities:

  • Knowledge of principles practices and techniques of public or business administration.
  • Knowledge of organization and departmental policies & procedures.
  • Proficient use of computer applications to include spreadsheets graphics desktop publishing and presentation software.
  • Strong leadership skills emphasizing team building and cross-departmental organization-wide efforts.
  • Experience with the High Performing Organization framework preferred but not required if experienced with other performance management systems.
  • Superior emotional intelligence and effective exercise of professional judgment.
  • Experience leading organizational change.
  • Able to demonstrate exceptional verbal and written communication skills.
  • Able to deal with sensitive and sometimes adverse situations and individuals using tact and diplomacy.

Required Education and Experience:

  • Any combination of education and experience equivalent to graduation from an accredited four-year college or university with major work in business public administration or an applicable field of study.
  • Three to five years experience of a responsible nature.
  • Considerable experience using a computer and applications software.
  • Special Requirements: Possession of a valid drivers license issued by the Commonwealth of Virginia.
  • Notary Public certification required within one year of hire.

Remote Work:

This position is eligible for a hybrid remote work schedule that is in compliance with the Countys Remote Work Policy and meets the operational and service needs for the position. All County staff must maintain residence within the Commonwealth of Virginia.

Salary Range:

The salary range for this position is $32.41 - $35.82 per hour (approx. $67409 - $74505 per year). Starting offer is based on applicable education beyond minimum requirements and internal equity. The position also provides excellent benefits including 12 paid holidays paid vacation and sick leave health insurance options with employer contribution employer-paid life insurance VRS retirement and continuing education/training opportunities. This is a full time FLSA exempt position. Internal candidates will receive pay adjustments in accordance with Local Government Personnel Policy P-60.
