The City of Falls Church Community Planning and Economic Development Services (CPEDS) is hiring for a full-time Senior Administrative Assistant.

CPEDS exists to improve quality of life and support the development of a safe City that balances economic environmental and social needs of current and future generations. CPEDS provides services in four overarching areas: (1) Economic Development (2) Planning (3) Zoning and (4) Building Safety. Organizing these four work areas under one department encourages employees to break through traditional work silos that would otherwise impede new projects and investments in the City.

This position supports the smooth operation of all Department staff by performing complex administrative budget management and accounting tasks. The successful candidate will perform intricate paraprofessional accounting and administrative work overseeing monitoring and executing a wide variety of tasks pertaining to the operations of the CPEDS department. Work is performed under the general supervision of the CPEDS Director.

Key Responsibilities:

  • Handle a variety of confidential administrative and technical agency assignments
  • Finance & Budget (primary focus)
    • Process payroll
    • Administer and release bonds
    • Assist Department leadership to prepare analyze and maintain the budget ensuring that it is accurate up-to-date and reflects the needs of the organization
    • Prepare monthly quarterly and yearly finance reports as needed.
    • Analyze financial data and provide recommendations for cost savings and revenue enhancement.
    • Manage department spending and financial transactions including management of department purchasing card VA public procurement requirements spending and documentation related to staff training and conference etc.
  • Records Management
    • Createandmaintaindepartmentfiling systems and record retention in compliance with the Library of VA requirements.
    • Coordinate FIOA requests with the City Clerks office
  • Office Management
    • Process and track membership renewals and training
    • Monitor office supply levels and reorders as necessary
    • Maintain IT Inventory for equipment and software and coordinates purchases with IT
  • Administrative Support
    • Planandarrange meetingsandconferencesandschedule appointments.
    • Maintain confidential departmental files.
    • Compose and type letters and memoranda
    • Assists in preparing quarterly progress reports
  • Performs otherrelatedduties asrequired

Qualifications

  • High school diploma or GED required College degree preferred.
  • Course work in accounting and office technology or related field.
  • Minimum one year experience in accounting and financial analysis
  • Strong knowledge of accounting and budget principles and practices
  • Extensive experience in office and administrative work preferably in a municipal function.
  • Thorough knowledge of standard office practices procedures and equipment.
  • Competency in business English and spelling.
  • Demonstrated ability to solve problems within scope of responsibility establish and maintain effective working relationships with associates.
  • Demonstrated ability to operate automated data systems and personal computer equipment and to transcribe dictation at a reasonable rate of speed.
  • Demonstrated ability to use discretion and judgement in the possession of confidential information.
  • An equivalent combination of training and experience may be considered.

Hours:Full time 40 hours per week. Monday - Friday 8:00 AM to 4:30 PM (with flexibility).

Salary and Benefits: Salary range is $75000 - $85000 depending on qualifications.
