We are seeking a highly organized proactive and independent Executive Assistant to provide comprehensive support across both business and personal domains. This role is ideal for someone who thrives in a fast-paced environment communicates exceptionally well and can anticipate needs before they arise. The ideal candidate is comfortable working autonomously owning tasks end-to-end and providing reliable operational support with minimal supervision.
Manage and prioritize executive inbox flagging important items and drafting responses where needed.
Maintain a dynamic and complex calendar including scheduling meetings calls and personal appointments.
Ensure the executive is prepared for all meetings with necessary materials and reminders.
Handle personal and household logistics such as:
Managing communication with vendors or service providers.
Coordinating repairs deliveries or maintenance for the home.
Completing bill payments renewals and administrative tasks.
Placing orders tracking shipments and handling returns.
Support business operations with tasks including:
Managing a general support inbox and routing emails to the appropriate team members.
Completing basic reporting tracking tasks and following up on outstanding items.
Assisting with ad-hoc administrative and operational tasks as needed.
Maintain an organized list of all open tasks projects and follow-ups.
Provide a structured weekly summary outlining progress open items and priorities.
Work primarily through email phone and text to ensure smooth real-time communication.
Join one weekly check-in meeting with the executive; otherwise operate with high independence and minimal daily oversight.
3 years of experience as an Executive Assistant Personal Assistant Operations Assistant or similar role.
Exceptional organizational skills and attention to detail.
High level of discretion and professionalism.
Strong written and verbal communication skills.
Ability to manage multiple priorities with calm efficiency.
Tech-savvy and comfortable learning new systems quickly.
Proactive problem-solver who can anticipate needs and follow through without micromanagement.
Availability during the preferred working hours (6:30am3:30pm EST).
Experience managing both personal and business-related tasks.
Strong judgment and ability to handle confidential information.
Familiarity with productivity tools (email clients task management systems spreadsheets etc.).
