Position Summary

Were looking for an experienced Membership Data Coordinator to ensure the integrity accuracy and strategic utility of membership data housed in the associations Fonteva Association Management System (AMS). Reporting to the Senior Director of Membership Experience this role plays a pivotal role in driving member engagement retention and growth by maintaining high-quality data that supports personalized outreach informed decision-making and exceptional member experiences. The Coordinator partners closely with membership marketing content customer care and IT teams serving as both a data steward and a key operational collaborator.


Key Responsibilities


  • Maintain and update member records in Fonteva AMS including contact information organization details and membership status changes.

  • Conduct regular data audits de-duplication and cleanup to ensure completeness accuracy and standardization.

  • Monitor and resolve bounced emails outdated records and incomplete profiles to improve communication deliverability and member engagement.

  • Enforce data entry standards and consistency across all member records; contribute to SOP development and documentation.

  • Support membership marketing and content teams by providing timely accurate data exports and reports to inform campaigns and strategy.

  • Collaborate with customer care and membership operations teams to troubleshoot and resolve member data issues quickly.

  • Assist in building and refining member segmentation strategies enabling more personalized outreach and targeted engagement efforts.

  • Monitor key data quality metrics and contribute to dashboards used for leadership decision-making.

  • Participate in cross-functional projects related to data improvement automation and system enhancements.

  • Identify recurring data challenges and contribute proactive recommendations for system or workflow enhancements.


Qualifications


  • Skills Requirements: Excellent attention to detail and commitment to accuracy. Interpersonal communication and relationship-building skills to coordinate with multiple internal teams and provide clear data insights. Ability to work independently as well as collaboratively in a cross-functional team environment. Multitasking organization and customer service skills. Analytical and problem-solving skills with the ability to identify patterns and propose solutions. Time management skills. Adaptability to evolving tools and processes in a data-driven member-focused organization.

  • Knowledge Requirements: Strong understanding of data management principles including data integrity standardization and governance. Familiarity with the retirement plan or financial services industry a plus.

  • Technology Requirements: Fonteva AMS and/or Salesforce with comfort in navigating complex CRM/AMS environments. Collaboration platforms (e.g. Microsoft Teams). Digital communication tools (e.g. Zoom). Emerging technologies (e.g. AI-driven solutions). Microsoft Office Suite.

  • Experience Requirements: 2 years of experience in a membership data or CRM coordination role. Experience in a professional association or nonprofit environment preferred.

  • Education Requirements: Bachelors degree or equivalent experience.

  • Supervisory Requirements: None

  • Travel Requirements: Local travel via motor vehicle.

  • Physical Requirements: Prolonged periods of sitting at a desk and working on a computer both in a home and office environment. Ability to use standard office equipment including computers keyboards phones and printers. Visual acuity to view and analyze information on a computer screen for extended periods. Occasional light lifting (up to 10 lbs) for transporting a laptop or office materials between work locations. Ability to commute to the office as required (i.e. at least 3 days per week). Ability to participate in virtual and in-person meetings presentations or team collaborations.
