The Employer Services Representatives job functions include processing of employer benefit /pension contributions reports and maintaining enrollment data of benefit plan participants as specified by client Collective Bargaining Agreements contract specifications and the benefit plan summary. He or she ensures contribution reports are verified for accuracy in order to determine benefit plan entitlements for members identify employer payment irregularities initiate collection efforts and carry out delinquency procedures.
Hours are 8:30 a.m. to 4:30 p.m in office. Some additional hours may be required during peak periods.
The Employer Services Representative will:
Learn and understand the applicable Collective Agreement and the benefit / pension entitlements as per the benefit plan summary in order to accurately process member and employer information.
Receives cheques and employer contribution reports on daily basis and is responsible to ensure payments accurately match to report. Balance and audit reports. Details to check include hours rates calculations plus additional information. Credit employer accounts. Close analysis of employer reporting is required to ensure accuracy.
Processes a large number of member status changes and updates employer information on a monthly basis. Follows up with employers regarding member status changes (eg. Sick laid off terminated)
Monitor employer account details to identify irregularities and over or under payments. Run monthly delinquency reports to determine missing employer contributions. Follow steps to collect delinquent accounts in timely manner including telephone calls emails and registered letters in accordance with the BPA Delinquency Guide.
Escalate appropriately to management accounts that remain as delinquent for further investigation.
Analyze member status to update members eligibility for benefits.
Direct funds and initiate appropriate payments for benefit fund expenses and member entitlements
Daily updates with drug providers.
Adhere to BPA and Trust Fund privacy policies.
Other duties as may be assigned from time to time by Management
Key Contacts/Relationships External and Internal:
Reports directly to Administration Manager
Communicates with and answers enquires from other departments.
Deals directly with participating employers benefit plan members union representatives and staff and internal Consultants.
May be required to deal with drug card providers.
To be successful as a Employer Services Representative with BPA you will need:
Exposure to office administration and clerical processes particularly related to data analysis and account reconciliation.
Demonstrated mathematical aptitude.
Post secondary education preferred.
Knowledgeable on relevant Collective Agreement and associated benefit plan.
Knowledge of the BPA Delinquency Guide and ability to apply guidelines to day-to-day work.
Skill in performing detailed numerical computations.
Ability to closely analyze and focus on detailed reporting and investigate discrepancies.
Ability to organize and prioritize workload.
PC proficient with strong knowledge of Microsoft Office (Excel and Word skills essential).
Excellent written and verbal communication abilities.
Strong interpersonal and customer service skills.
Ability to multi-task work under pressure and meet deadlines.
