What you will be doing

This position reports to the Office Manager and its primary role is to receive client inquiry calls process client information and direct them to the appropriate service delivery area as well as monitor and analyse the level and type of incoming calls through addition it will provide receptionist and administrative support functions for PRONIA to the admin team.

Key Responsibilities

  • Perform all reception and switchboard duties managing incoming calls and directing them to the appropriate service area.
  • Process client inquiries and identify which program or department the inquiry should be referred to.
  • Maintain the visitors book and ensure all visitors sign in and out.
  • Maintain a pleasant clean and professional reception area and waiting space ensuring client information resources are updated.
  • Welcome and direct visitors to relevant program areas as required.
  • Set up and pack down meeting rooms when required.
  • Opening and closing the office as required.
  • Carry out general administrative tasks including filing collating photocopying scanning and document preparation.
  • Provide support to staff across all units and assist with overflow tasks as required.
  • Perform basic keyboard operation and use standard office equipment and software.
  • Maintain basic records and ensure accurate administrative documentation.
  • Undertake any other duties reasonably required to support the smooth functioning of the organisation.
  • Handle all incoming and outgoing mail including messenger and courier services.
  • Manage the distribution of deliveries across the organisation (including PRONIA when required).
  • Assist with recording matching checking and batching accounts invoices orders and requisitions.
  • Support the maintenance of office supplies equipment and front-of-house materials.

Academic/Technical Qualifications

  • Training or certification in customer service or office administration.
  • Experience in reception and administration duties no less than 2 years.
  • Certificate III or IV in Business Administration (or related field) or equivalent relevant experience is desirable.
  • Completion of Year 12 or equivalent.
  • Basic computer and keyboard skills.
  • Fluency in Greek and English language

Professional Experience

  • Strong customer service and communication skills (verbal and written).
  • Understand respond and resolve customer enquiries.
  • Proficiency in the use of Microsoft Office Suite and packages such as Word Excel Access Internet and E-mail
  • Ability to follow processes maintain confidentiality and work within organisational policies.
  • Accuracy in recordkeeping administrative tasks and data entry.
  • Strong attention to detail and problem-solving skills.
  • Ability to manage competing priorities in a busy environment.

Knowledge and Skills

  • Strong customer service and communication skills (verbal and written).

Mandatory Requirements

  • Current driver license and access to own vehicle.
  • Police check at the required intervals and working with children check.
  • Not subject to any Employee Screening or Banning Orders under relevant state or federal legislation (e.g. Worker Screening Act 2020 (Vic)).
