Job Summary

This is a remote position.

Were looking for a technical and highly organized Construction Project Coordinator to join our growing team. If you thrive in complex construction environments and enjoy managing the critical details that keep projects on track this role is for you. Youll start by managing core project administrationhandling Procore documentation processing RFIs and maintaining clean financial logswhile ensuring our project managers have the support they need to deliver on time and on budget.

As you demonstrate your expertise youll take on broader responsibilities in technical analysis reviewing construction drawings managing procurement cycles and coordinating vendor relationships. This is an excellent opportunity for someone with a background in construction engineering or architecture who wants to apply their technical skills in a vital support role within a fast-paced Canadian operations team.

Key Responsibilities

Project Administration & Documentation

  • Manage Procore Database: Serve as the guardian of project data by uploading and organizing all project-related documents ensuring the team has access to the latest files.

  • RFI & Change Order Management: Send out and monitor Requests for Information (RFIs) and assist the Project Manager (PM) in documenting potential and approved change orders in Procore.

  • Reporting & Compliance: Create weekly construction reports lookaheads and time-loss justification logs to track project health.

  • Close-out & Handover: Compile site startup materials and comprehensive project close-out binders including assisting with permit closures to ensure a smooth project finish.

Procurement & Financials

  • Purchase Order (PO) Execution: Create and issue POs on Procore immediately following approval to maintain project momentum.

  • Vendor & Supply Coordination: Contact vendors to verify lead times confirm quotes and ensure materials are ordered and delivered according to the schedule.

  • Quote Review: Analyze subcontractor quotes to ensure the full project scope is covered; compare quotes against drawings before trades are awarded.

  • Financial Administration: Verify material take-offs before ordering and actively collaborate with the Accounts Payable department to review and push trade invoices.

Technical Analysis & Engineering Support

  • Drawing Analysis: Conduct thorough analysis of issued for construction drawings to identify potential issues before construction begins.

  • Shop Drawing Review: Assist the PM by requesting reviewing and routing project shop drawings to consultants and clients for final approval.

  • Deficiency Management: Assist the PM in tracking and clearing deficiencies managing warranty-related work and creating service calls for existing clients.

Communication & Scheduling

  • Schedule Maintenance: Assist the Project Manager in creating and updating the master project schedule to reflect real-time progress.

  • Meeting Coordination: Attend virtual site visits OAC (Owner-Architect-Contractor) meetings and trade meetings to record accurate minutes and notes.

  • Stakeholder Liaison: Act as a reliable point of contact for suppliers and trades coordinating pick-ups deliveries and permit requests with the city.


Requirements

Required Qualifications

  • 24 years of proven experience in construction project coordination engineering or architecture with a strong understanding of the construction lifecycle.

  • Mandatory proficiency in Procore: Hands-on expertise with Procore for document control POs and RFIs is non-negotiable.

  • Technical Blueprint Literacy: Ability to read and analyze construction drawings verify take-offs and review shop drawings for accuracy.

  • Strong Financial Acumen: Experience dealing with Purchase Orders reviewing invoices and comparing vendor quotes against project scope.

  • Excellent Communication Skills: Ability to communicate effectively and professionally with North American clients suppliers and internal staff.

  • Organizational Mastery: High accuracy in record-keeping with the ability to manage multiple document streams without losing attention to detail.

  • Problem-Solving Mindset: Ability to provide technical guidance and work collaboratively to resolve issues as they arise.

Required Skills:

Proven experience as a Project Accountant or in a similar accounting role within the construction engineering or project-based industry. Hands-on experience using Spectrum or comparable project accounting ERP systems (such as Vista Timberline or Sage 300). Proficiency in Procore or other project management software with a strong understanding of how it integrates with financial systems. Strong analytical skills with the ability to generate interpret and present project profitability reports and other financial analyses. Solid grasp of accounting principles and best practices. Highly Desired A growth mindset and eagerness to expand beyond core project accounting into broader financial responsibilities. Experience performing balance sheet reconciliations and supporting the month-end close process. Proven ability to work independently manage multiple priorities and adapt within a fast-paced evolving environment.
