Job Summary

  • Warranty Administrator

    Responsibilities:

    Process & Submit: Book warranty repair orders and submit manufacturer warranty claims accurately and on time.

    Track & Follow Up: Maintain receivables schedules submit service contract claims and follow up to ensure timely payment.

    Collaborate: Work closely with technicians service advisors and supervisors to define claim scope and resolve issues.

    Vendor Coordination: Partner with vendors and manufacturers to manage claim documentation and approvals.

    Documentation: Ensure all warranty paperwork is complete accurate and compliant with manufacturer criteria.

    Financial Control: Reconcile warranty receivables coordinate with accounting and verify deductibles are collected.

    Compliance & Updates: Stay current on factory recalls announcements and warranty procedures.

    Relationship Building: Establish positive working relationships with manufacturer and aftermarket warranty representatives.

    Quality Review: Audit repair orders for accuracy codes and administrative data before submission.

    Claims Management: Resubmit rejected claims promptly and maintain detailed records of claim status.

    Reporting: Provide weekly claims status reports to the service manager.

    Qualifications:

    Experience: Minimum 2 years of warranty administration or clerical support experience (automotive preferred).

    Detail Orientation: Strong accuracy organizational skills and ability to manage multiple claims simultaneously.

    Collaboration: Proven ability to work effectively with service advisors technicians supervisors and accounting staff.

    Communication: Clear professional verbal and written communication skills for interacting with manufacturers vendors and team members.

    ProblemSolving: Ability to review rejected claims identify issues and resubmit promptly with proper documentation.

    Accounting Knowledge: General understanding of receivables reconciliations and claim payment processes preferred.

    Compliance Awareness: Familiarity with manufacturer policies warranty procedures and recall requirements.

    Licensing: Valid drivers license with a clean driving record.
