Big-D has an opportunity for a Project Administrator to join our team of construction professionals in Idaho Falls ID.
Experience/Training:
- A High School Diploma or GED is required
- Business school Associates degree or equivalent is a plus
- 3-4 years of construction experience required
Critical Skills:
- Proficient computer skills including typing Microsoft Office Suite Procore Bluebeam
- Proficient in Outlook organizing meetings assigning tasks working with distribution lists
- Clear written and verbal communication
- Organize and write procedures in a logical/methodical manner
- Ability to multitask and work on multiple projects simultaneously including managing priorities of multiple managers
- Consistently produces accurate work and has excellent attention to detail
- Work well in a team environment
- AR/AP skills managing the release of payments to subs/vendors assisting in creating of monthly bills to the owner tracking cost and other accounting duties as needed
- Proficient in document control and has the ability to assist in processing RFIs and submittals
- Able to be resourceful and take initiative
- Maintains a friendly and courteous attitude even under stressful situations
Duties Responsibilities and Expectations: (other duties may be assigned to meet business needs)
- Contract administration working with estimating and project management in creating and issuing contract and purchase orders for the project
- Manages risk by proactively gathering and tracking insurance and licensing requirements for subcontractors and vendors
- File necessary preliminary lien and commencement notices for their projects. Review and verify lien releases for all vendors
- Process project close out documents (O&M manuals etc.)
- Update project reports
- Maintain efficient neat and organized filing systems for all projects in a timely fashion
- Letter writing copying scanning ordering supplies properly and accurately distribute project documentation to team
- Assisting project team/department in completing expense/mileage reports and timecards
- Help to ensure that project contracts bids and governmental development applications are completed and filed on time
- AR/AP track manage and process purchase orders and invoices
- Able to use cost codes and links contracts PCOs OCOs and SCOs
- Organizes and prepares documents and reports for PM utilizing and maximizing Procore as a documentation source
- Interacts with clients vendors and staff in a professional courteous and appropriate manner
- Participating in meetings taking and publishing minutes
- Hard paper and electronic filing systems for group
- Committed to supporting Big-Ds policies and procedures
- Provide various administrative support to a project team
