Job Summary

This is a remote position.

Schedule: 2 slots to fill
  • Assistant 1: 30 hours per week Monday to Friday 7 am till 12 pm handling urgent traffic and coordination. Plus 5 hours every Saturday (8am to 1pm)
  • Assistant 2: 30 hours per week Monday to Friday 12pm till 5pm focusing on scheduling new jobs and client communication. Plus 5 hours every Sunday (8am to 1pm)
  • The focus may differ depending on the hours but the job description remains the same. The 2 assistants will be helping each other with the influx of calls and admin duties
  • Timezone: Avondale Heights VIC

Overview:
We are looking for a highly organized and detail-oriented Scheduling Coordinator to manage daily scheduling operations for a busy cleaning service company. The ideal candidate will ensure all jobs are properly assigned organized and completed on time resulting in smooth operations satisfied clients and optimal use of staff resources.

About the Role:
The Scheduling Coordinator plays a critical role in ensuring the business runs efficiently each day. You will handle booking schedules coordinate staff communicate with clients respond to changes and help maximize productivity and revenue.

Your goal: Maintain a fully booked well-organized schedule where every job is completed on time by the right cleanerleading to strong client satisfaction and business growth.


Key Responsibilities:

1. Optimize Workforce Efficiency
  • Match cleaning jobs with available staff based on location skills and availability.
  • Minimize downtime and unnecessary travel.
2. Ensure Timely Service Delivery
  • Schedule appointments in alignment with client expectations and company commitments.
  • Manage last-minute changes such as cancellations reschedules or emergencies.
3. Support Customer Satisfaction
  • Communicate clearly with clients about booking details updates or changes.
  • Help ensure cleaners arrive on time and perform the requested services.
4. Coordinate With Field Staff
  • Provide cleaners with daily schedules special instructions and updates.
  • Resolve assignment conflicts overlaps or schedule issues.
5. Maximize Revenue Opportunities
  • Fill schedule gaps with last-minute bookings or add-on services.
  • Prevent missed jobs that could lead to lost revenue or negative reviews.
6. Maintain Accurate Records
  • Track job completions client history and employee schedules.
    Use scheduling software to maintain an organized and up-to-date system.
7. Contribute to Business Growth
  • Analyze scheduling patterns to support hiring or expansion decisions.
  • Help maintain high service reliability that results in positive reviews and referrals.

Requirements:
  • Excellent English communication skills with a clear and professional accent.
  • Proven scheduling or workforce coordination experience (required)
  • Ability to handle pressure fast-paced changes and urgent scheduling needs.
  • Strong organizational and multitasking skills.
  • Excellent attention to detail and a high level of accuracy.
  • Experience with scheduling/workforce management software (preferred).
  • Ability to coordinate with remote or field-based teams.
  • Customer service experience is a plus.
  • Reliable internet connection and ability to work remotely.
