About the role
The opportunity at NLA for the Front of House Coordinator is to take ownership of the day-to-day running of The London Centre galleries and reception area ensuring all those who visit receive a warm welcome and maintaining an excellent standard of upkeep in all public areas of the space.
Supported by the Head of Events and working with the Venues and Events team and wider NLA team you will support on all aspects of our activities at The London Centre through general administrative and operational tasks.
The role is ideal for a highly organised individual with a passion for galleries and public interaction and an interest in architecture and the built environment. The successful candidate will have initiative will be a great communicator who possesses strong customer service skills and a creative approach to problem solving with the ability to work on several complex tasks simultaneously whilst remaining calm under pressure.
Terms
- Hours: Full time 40 hours a week worked between 9.00am 6.00pm. Working from our City of London office The London Centre (our public gallery)
- Salary: 28810
- Location: The London Centre 3 Aldermanbury EC2V 7HH

Main duties and responsibilities
- Management of front desk and general enquiries including answering questions about NLA exhibitions at The London Centre and related questions about the Guildhall spaces and NLA membership
- Provide exceptional customer service to all visitors and NLA members
- Telephone reception duties to include handling enquiries for The London Centre and NLA
- Upkeep of front of house areas and exhibition gallery; taking pride in the presentation of the space maintaining an excellent standard of appearance
- Opening and closing of the venue exhibition and AV switch on/off
- Whenever necessary assist with the viewing of event space and the gallery
- Reporting maintenance issues overseeing contractors and working with facilities to ensure the smooth running of the venue
- Day-to-day administrative office support
- Diary management of CEO; to act as the primary contact for meeting requests and support in sending out / accepting invitations / rearranging meetings
- Assisting with public and private events (will involve some out of office hours where time back can be arranged with your Manager)
- Managing enquiries and taking bookings to include; administering booking forms invoices and catering requirements
- Setting up A/V at events and managing any issues
- Facilitating refreshments for internal meetings
- Furniture setup and de-rig for events taking place in the Gallery
- Front of house event support including registration sign-in and cloakroom checking event set up and client liaison
- Delivering model talks around our two architectural models as part of a our public talks programme on Fridays; training will be given
- Supporting the the Venues and Events team to deliver the NLA programme and private events at the London Centre
- Supporting Project Teams including inbox management note taking andcollaborating with the wider NLA team on different outputs
What we are looking for
You will have a passion for and experience of customer service front of house and administrative duties that contribute to being an ambassador for NLA as the welcoming face of all our activities visitors and clients engaging with NLA at The London Centre.
Essential Skills & Abilities
- Clear and effective communication skills both oral and written
- Previous experience within the hospitality or events industry
- Previous experience as Front of House staff
- Proven ability of solo working and collaborating as part of a team
- Proven ability to provide excellent customer service
- Working knowledge of Microsoft packages including Word Excel and Outlook
- Ability to prioritise effectively managing a busy diary and varied workload to meet demands and deadlines
- Ability to multi-task between different requirements of the role including public interaction administrative tasks and upkeep of the public Gallery
- A flexible approach in terms of work changes and participation
- Good team player
- Ability to take initiative; a self-starter
- Willingness to learn
- Willing to work early mornings evenings and the occasional weekend day as required (Time back to be arranged by manager)
- Confidence in public speaking and interacting with the public
Desirable Qualifications and Experience
- Proven ability to deliver high quality events
- Knowledge of events catering
- Previous experience using accountancy software preferably Xero
