Position: Programs Supervisor - Adult and Continuing Education

Salary Range: Band 5 : $ 42.52 per hour - $50.71 per hour 4% vacation pay

Location: Bateman Community Centre 5151 New Street Burlington ON

Work Schedule: 35 hours/week 12 months/year

Effective Date: December 15 2025 to August 31 2026


Position Overview:

Halton District School Board is seeking qualified applicants for the position of Programs Supervisor - Adult & Continuing Education Programs. Gary Allan Learning Centres deliver adult alternative and continuing education programming to all students with the Halton District School Board delivering educational programs twelve months of the school year six days each week including daytime evening and weekend hours. The Programs Supervisor supports GALC Administration and Management in the effective delivery of these programs with particular responsibility for fee-paying adult languages adult online credit PSW programming and summer school. The Programs Supervisor responsibilities include supervision of contract staff collation and quality assurance of register data and setting up programs in Aspen liaising with the SIS team and other departments as necessary.



Responsibilities:

  • Supervise contract staff to deliver accurate and efficient student course registration and mark reporting data input and quality assurance of same.

  • Provide training to new staff and existing staff members with respect to program and system changes.

  • Coordinate and approve classroom coverage and supply teachers.

  • Collate and quality assure register data for all Ministry of Education funded programs as well as board registers for fee payer programming.

  • Support manager and administration to coordinate orientation activities and events for fee paying students.

  • Marketing promotion and outreach of adult continuing education and fee-payer programs liaising with the HDSB Communications Department as necessary.

  • Support review and intake of applications for fee paying students (eg FSL/PSW etc.) and related tuition processing.

  • Continuously improve processes and systems to ensure efficiency consistency best practice and customer service including Aspen School Cash Online OUAC/OCAS online registration portal etc.

  • Assist with recruitment and onboarding of non-teaching continuing education contract and occasional staff including creating and issuing contracts for occasional staff.

  • Coordination of recruitment registration and program delivery of adult online credit and PSW programs under the direction of the Manager of Continuing Education and the Principal of Continuing Education.

  • Assist with accurate and timely tracking of payroll information for contract and occasional staff.

  • Liaise with the SIS team and Vice Principal of ICT to ensure ASPEN best practices for the creation and set up of all programs in accordance with Ministry of Education Enrollment Registers.

  • Work closely with HDSB departments (e.g. School Programs Special Education Services and Equity Departments) to develop needed processes and resolve challenges associated with evolving student/family needs.

  • Record maintenance and coordination of reports required by Business Services Ministry of Education and other federal and provincial funders .

  • Prepare source and support ordering of instructional materials instructional equipment and furniture for all programs.

  • Communicate with external organizations including community partners and board-approved vendors when needed.

  • Assist other staff with duties assigned by an administrator or manager.



Qualifications:

Education:

  • Post-secondary diploma or certificate in project management or equivalent


Experience :

  • Experience in an equivalent position

  • Knowledge and experience of Continuing Education contexts would be a distinct asset.

  • Knowledge and experience related to School Cash Online is an asset.


Position specific skills :

  • Excellent technical skills (i.e. Aspen Microsoft Office Google Suite).

  • Knowledge of Ministry of Education reporting platforms (i.e. OnSIS) and reporting platforms (HARTs & iCARE) would be an asset.

  • Ability to speak and write in multiple languages is an asset

  • Exemplary conflict prevention and management skills and ability to diffuse situations

  • Effective decision making ability to work independently and collaborate and consult as necessary
