PRIMARY PURPOSE:
Effect the efficient operation of office routines and practices associated with a busy yet productive and smoothly run Benefits Department. Implement the districts leave programs according to established policy rules regulations and laws. Efficiently process disability claims and provide timely notification and communication with employees of leave requirements and status. Coordinate sick leave pool and bank requests and manage the sick leave bank inventory.
QUALIFICATIONS:
Minimum Education/Certification:
High school diploma or equivalent
Associates Degree- preferred
Bilingual (Spanish)- preferred
Typing test reflecting > 40 WPM required
Special Knowledge/Skills:
Knowledge of administration of leave programs and applicable laws
Ability to interpret and disseminate information to individuals and groups
Effective written and oral communication public relations organizational and interpersonal skills
Proficient computer skills and file maintenance
Maintain accurate and auditable records
Ability to use software to develop spreadsheets databases and do word processing
Knowledge of basic accounting principles
Ability to problem solve
Handle multiple projects and activities simultaneously and meet deadlines
Work Conditions:
Tools/Equipment Used: Standard office equipment including personal computer and peripherals
Posture: Prolonged sitting; occasional bending/stooping pushing/pulling and twisting
Motion: Repetitive hand motions including prolonged keyboarding & use of mouse; occasional reaching
Lifting: Occasional lifting and carrying (less than 40 pounds)
Environment: May work with frequent interruptions; maintain professional demeanor under stress
Regular attendance is an essential function.

2 years clerical experience preferably in a public school and/or health/benefit environment- preferred
2 years workers compensation claims administration experience- preferred
MAJOR RESPONSIBILITIES AND DUTIES:
Leave Administration
- Process all long-term absences according to established guidelines including determining eligibility for various leave programs (e.g. family medical leave and temporary disability leave) and providing employees with appropriate and timely notice.
- Counsel with employees and supervisors concerning leave benefits and provide employees with accurate information related to absences such as deductions from pay medical certification requirements return-to-work dates and fitness-for-duty requirements.
- Establish and maintain all district records and files for employees requesting Family Medical Leave Temporary Disability Leave Sick Leave Bank Military Leave or Catastrophic Leave.
- Work cooperatively with Human Resources Payroll and Risk Management to process and coordinate all employee leaves and absences.
- Schedule and conduct employee leave conferences.
Records Reports and Correspondence
- Maintain employee leave records including confidential medical information in accordance with federal and state laws and regulations and district policies and procedures.
- Work with campus and departmental administrative staff to process absence reports.
- Assist with employee orientation program and present information on leave benefits.
- Prepare correspondence forms and reports according to district standards and requirements.
- Track absence data and provide administration and others with trend reports.
Other
- Ensure confidentiality.
- Model non-discriminatory practices in all activities.
- Demonstrate behavior that is professional ethical and responsible.
- Follow district safety protocols and emergency procedures.
- Ensure compliance with all local policies and state and federal statutes including the Educator Code of Ethics.
- Perform such other tasks and accepts such other responsibilities as may be assigned.
