Description

The Executive Secretary to the Area President provides high-level administrative and executive support in a fast-paced confidential and mission-driven environment. This role requires exceptional judgment professionalism and a comprehensive understanding of organizational policies priorities and operations. Responsibilities include advanced administrative support project coordination executive communication and strategic assistance to the Area Presidency. The Executive Secretary ensures seamless day-to-day operations and serves as a trusted partner to leadership in fulfilling their responsibilities.



Responsibilities

Employees at this level work independently under general supervision and exercise significant autonomy. Work assignments range from moderately complex to highly complex requiring exceptional communication skills discretion sound judgment and advanced problem-solving abilities. The role involves making non-routine decisions and proactively addressing diverse issues with initiative originality and professionalism.

Key Responsibilities

  • Drafts edits and prepares high-quality correspondence memoranda reports agendas and other documents for executive review and distribution.

  • Compiles analyzes and interprets complex data from multiple sources; prepares summaries reports charts and graphs; may conduct research to support executive decision-making.

  • Coordinates and monitors programs projects and processes related to the assignment or the leader being supported ensuring timely follow-up and successful completion of deliverables.

  • Serves as a primary administrative liaison between senior leadership and key internal and external stakeholders ensuring effective communication and collaboration.

  • Screens and manages telephone calls written inquiries visitors and requests; independently resolves routine to complex issues with discretion and sound judgment.

  • Manages executive calendars schedules and coordinates meetings arranges travel and ensures all logistical details are handled efficiently.

  • Prepares organizes and distributes meeting minutes and follow-up action items.

  • Assists in the planning and execution of large group meetings conferences and other significant events.

  • Maintains strict confidentiality in handling sensitive information documents and communications.

  • May process internal and external purchasing deposits reimbursements and other financial transactions as needed.

  • May assist in budget planning monitoring and reporting including tracking expenses and keeping leadership informed of budget status.

  • May provide guidance training or leadership to lower-level administrative staff.



Qualifications

Required Qualifications

  • Bachelors degree with at least 3 years of related professional experience

  • Exceptional verbal and written communication skills.

  • Strong research analytical and data interpretation abilities including the ability to summarize complex information clearly.

  • Advanced proficiency in Microsoft Office applications particularly Word Excel PowerPoint and Outlook.

  • Excellent interpersonal skills with the ability to build effective working relationships at all organizational levels.

  • Proven ability to handle sensitive confidential and highly personal information with discretion.

  • Strong independent judgment problem-solving and decision-making skills.

  • Broad understanding of the organizations structure key functions and leadership roles.

  • Working knowledge of Church doctrine policies and procedures.

  • Ability to meet the physical requirements of the role which may include prolonged sitting moving around the office to deliver materials and using computers and related equipment.
