Job Summary

The PMIS Administrator (Admin Level I) will assist the PMIS Team with system-level configuration and support both internal and external users. The MBTAs Enterprise-wide Project Management Information Systems (PMIS) affect all aspects of development projects and the PMIS Team will be required to be highly responsive and able to prioritize end-user needs in the best interest of MBTA. The PMIS Administrator (Admin Level I) is an entry-level PMIS Administrator position with career growth advancement potential within the PMIS organization.

Duties & Responsibilities


  • System Specific Responsibilities
    • Assist Project Setup
    • Assist with user Provisioning
    • Assist with Onboarding and training of new users
    • Provide user Technical Support & training
    • Review monthly and quarterly product release notes
    • Regularly attend project staff and support meetings
    • Other duties as assigned by Senior PMIS Admins and PMIS Director
  • Change Management Responsibilities
    • Assist with the development and maintenance of process-specific support documentation.
    • Coordinate and participate in user acceptance testing of major changes (e.g. new structured workflow)
  • Document Management Responsibilities
    • Assist with developing and maintaining a standard project template library (pro-formas contracts change orders directives etc.)

Minimum Requirements & Qualifications

  • High school diploma or equivalent (G.E.D.)
  • Six (6) to twelve (12) months of experience in co-op intern roles or related experience in the following areas: project administration or coordination duties supporting a large department or group in project controls financial reporting project management plus any of the following experience: public policy public administration consulting or related field.
  • Excellent interpersonal skills and demonstrated ability to interact effectively with all levels of staff within a large organization.
  • Excellent organizational skills to prioritize multiple tasks develop analyze and/or work in an environment of heavy pressures and changing priorities.
  • Demonstrated written communication skills and the ability to compose correspondence and reports.
  • Intermediate-level experience with computerized systems database management spreadsheet and word-processing programs to manipulate data and create reports.
  • Ability to document and troubleshoot problems and develop creative solutions.
  • The ability to work effectively with a diverse workforce.

Preferred Experience and Required Skills

  • An Associates degree from an accredited institution in Computer Science Construction Management or Business Administration.
  • Experience using PMIS applications (i.e. e-Builder) or other capital or construction management software.

Job Conditions:

  • Be at least eighteen (18) years of age except if participating in an approved high school internship / co-op program.
  • Ability to commute to assigned work locations in the Boston MA metro area as required by the role.
  • Ability to provide internal and external customers with courteous and professional experiences.
  • Ability to work effectively independently and as part of a diverseworkforce team (or supervise if required).
  • Ability to uphold the rights and interests of the MBTA while building and maintaining effective relationships with employees and co-workers.

  • Have a satisfactory work record for the two (2) years immediately prior to the closing date of this posting (unless if current student or recent graduate) including overall employment job performance discipline and safety records (infractions and/or offenses occurring after the closing of the posting and before the filling of a vacancy may preclude a candidate from consideration for selection).
  • Ability to pass a Criminal Offender Record Information (CORI) check comprehensive background screening and / or medical Clinic screening potentially including physical examination and drug and alcohol screenings.
  • Ability to work all shifts and / or locations assigned directed or necessary for this position including (for some transit / operations roles) up to twenty-four (24) hours per day seven (7) days per week as necessary to accommodate severe weather conditions emergencies or any other circumstances that may potentially impact service or the safety of service.
  • Intern / co-op staff must be enrolled full or part-time in an accredited educational program and maintain a cumulative GPA of at least 2.5 for the entire duration of the internship / co-op. Additionally interns / co-ops must have valid work authorization and U.S. Social Security Numberprior to starting pre-employment screenings / pre-boarding working in their positions and throughout the duration of their program.
