THE GIST:
Our client a rapidly growing AI startup is seeking a high-impact Executive Assistant to partner closely with their Executive Leadership Teamprimarily the CEO with additional support to three senior leaders. This is a unique opportunity to shape processes strengthen operational efficiency and help build the companys administrative foundation as they scale.
This role offers meaningful project work visibility across the organization and the chance to grow the broader admin function!
THE NITTY GRITTY:
- Establish & build out new processes and shape the companys administrative function as the company scales
- Mainly support the CEO and additional members of the leadership team
- Expertly prioritize their time oversee calendar management organize meetings and address scheduling conflicts
- Coordinate travel and prepare itineraries
- Manage email inbox and respond to internal & external communications with a sense of urgency & professionalism
- Plan company events offsites and meetings
- Keep track of projects note important action items and send corresponding follow-ups
- Prepare presentations and meeting materials
- Track and process expenses
- Work cohesively with Office Manager and other team members
- Assist with various tasks and projects as needed
THE ESSENTIALS:
- 5 years of experience as an Executive Assistant in the tech startup space
- VC backed startup experience highly preferred
- Responsive nature and the ability to respond to action items outside of traditional business hours when needed
- Self-starter with the ability to thrive in a high-growth environment
- Strategic & process-oriented mindset with the ability to implement structure
- Clear & concise communication style
- Superb organizational skills
- Adaptable nature and ability to shift priorities as needed
