Job Summary

This is a remote position.

Schedule:
  • Total hours: 24 hours per week or 4 hours per day
  • Monday - Friday from 2:00 PM 6:00 PM California time (or 6:00 AM - 10:00 AM Manila time)
  • Every other Saturday: 4 hours (flexible between 8:00 AM 5:00 PM California time)

The client is a medical practice located in Southern California. As a clinical doctor hes seeking to enhance the clinics digital marketing presence through social media management.

Job Overview:
Our client is looking for a highly organized and proactive Office Assistant to support their growing team. This is a non-clinical administrative role ideal for someone with excellent English communication skills and a minimal accent. You will assist with general office support communication management file handling and basic social media coordination. Full training is provided.

Responsibilities:
  • Manage incoming emails and general correspondence efficiently.
  • Answer phone calls and return voicemails in a professional friendly manner.
  • Handle administrative tasks such as managing PDFs processing online faxes and organizing files in Google Drive and Notion.
  • Maintain and update social media calendars including scheduling and uploading content (no creation or editing required).
  • Support day-to-day operations using tools such as Notion Google Drive Canva Microsoft Word and other platforms as needed.
  • Participate in training sessions and follow best practices for virtual office support.

Requirements

  • Excellent spoken and written English with minimal accent.
  • Experience performing administrative or virtual assistant tasks.
  • Familiarity with Notion Google Drive Canva Microsoft Word and common online tools.
  • Basic understanding of social media platforms (Facebook Instagram TikTok etc.).
  • Strong organizational skills attention to detail and the ability to multitask.
  • Ability to work independently while collaborating effectively with a remote team.
  • Prior experience as a Virtual Assistant or in a remote office role is preferred but not required.
