Total Weekly Hours: 40 Hours



Our client is seeking a highly organized and proactive Administrative & Project Management Assistant to support a dual-role physician specializing in Physical Medicine & Rehabilitation and Pain Medicinewho also serves as a medical school faculty member and private practice entrepreneur.

This is an exciting opportunity to work at the intersection of clinical care education and research. Responsibilities
Administrative Support
  • Manage a dynamic calendar for clinical academic and business activities

  • Coordinate logistics for patient encounters student sessions and interprofessional meetings

  • Draft and respond to emails schedule appointments and manage follow-ups with minimal supervision

  • Maintain and organize critical documents files and workflows

Project Management

  • Track milestones and drive progress across multiple projects (research education business operations)

  • Support private practice setup and scaling (licensing credentialing marketing coordination vendor management)

  • Assist with research study logistics including IRB submissions data collection and manuscript timelines

  • Coordinate education and training activities (lecture scheduling CME planning student coordination)

  • Identify opportunities to improve workflows and implement efficient systems


Requirements
  • Experience in healthcare academic administration or small business operations preferred

  • Familiarity with EMR systems credentialing or practice startup processes

  • Strong organizational time-management and multitasking abilities

  • Excellent written and verbal communication skills

  • Proficiency with Google Workspace Microsoft Office Zoom and project management tools

  • Ability to handle sensitive and confidential information with professionalism

Preferred Qualifications

  • Background or interest in healthcare pre-med or clinical project management

  • Interest in leadership operations or business development
