ROLE SUMMARY
As Senior Manager Operations Management (Individual Contributor) you will be the execution backbone for the AI Architecture & Solution Design departmentdriving crossdepartment coordination portfolio alignment operating rhythms KPI/OKR reporting and change management. You will partner closely with the AI Architecture Operations Lead (who owns the design playbook ceremonies and artefacts) to ensure seamless execution while you interface with the Portfolio team and the broader AI CoE (e.g. Platform Security Privacy Legal Compliance Data and Finance) to unblock delivery align priorities and provide executivequality visibility.
You will orchestrate the calendar of business maintain RAID/decision logs coordinate capacity and resourcing signals and ensure that intake reviews release readiness and retrospectives run predictably across Embedded Architecture AI Capability Design and Solution Design teams.

ROLE RESPONSIBILITIES
1) Operating Rhythms & Governance
Orchestrate the department calendar: intake triage slots design reviews/boards release readiness checks QBRs/MBRs business reviews and crossteam retrospectives.
Prepare and run governance logistics: agendas prereads decision records (ADRs/notes) action tracking and followthrough.
Maintain RAID (Risks Assumptions Issues Dependencies) logs and escalate with context and options.
Ensure alignment with the AI Architecture Operations Lead on process adoption; drive adherence without duplicating ownership of the playbook.
2) Portfolio Coordination & Prioritization Support
Serve as the primary liaison to the Portfolio team to funnel clarify and sequence business use cases; ensure traceability from intake design release readiness.
Translate portfolio priorities into clear demand signals and slotting for Embedded Architecture AI Capability Design and Solution Design teams.
Surface crossproduct dependencies and constraints early; coordinate with Platform and AI Engineering for timely support.
3) Metrics OKRs & Executive Reporting
Consolidate department KPIs and OKRs into executiveready dashboards and narratives for ELT/ELT1 (e.g. flow/cycle time reuse rates evaluation readiness documentation completeness cost/performance targets adoption metrics).
Partner with Operations Excellence to standardize definitions and automate data capture where possible; ensure data quality and ontime reporting.
Run a monthly operations review and support quarterly business reviews highlighting outcomes risks and decisions needed.
4) Capacity Resourcing Signals & Planning
Maintain a rolling capacity view and staffing signals across subteams (Embedded Architecture Capability Design Solution Design) coordinating rotations and critical coverage with their leaders.
Support headcount planning onboarding coordination and role sequencing aligned to portfolio demand.
Flag bottlenecks and propose mitigation options (reprioritization phased scope external augmentation via CoE).
5) Compliance Security & Release Readiness Coordination
Coordinate designtime readiness checkpoints with Security Privacy Legal and Compliance; ensure evidence is captured and auditable.
Track release readiness signals (evaluation coverage SLO/observability plans risk mitigations documentation/signoffs) in partnership with Operations Excellence.
Drive change management communications for process updates policy changes and release documentation.
6) Vendor Procurement & Budget Signals (as applicable)
Support procurement/SOW coordination and vendor onboarding in partnership with Finance/Legal and the AI CoE.
Track budget utilization signals and cost/performance guardrails at design time (in partnership with leaders and Operations Excellence).
7) Tooling Knowledge Management & Communication
Administer or coordinate the tooling stack for operations (e.g. work tracking documentation repos dashboards evidence archives design tooling and services to increase productivity across the departments) ensuring usability and access controls.
Promote documentation standards and ensure artefacts are discoverable and versioned; curate an index of exemplars and reference assets.
Handle internal communications: newsletters status summaries change notes and leadership updates.
BASIC QUALIFICATIONS
8 years in engineering operations PMO TPM or architecture operations within software/AI organizations; proven success in matrixed enterprises.
Demonstrated ability to run operating rhythms manage RAID and produce executivegrade reporting (dashboards and narrative).
Experience coordinating across Portfolio/PM Architecture/Engineering Platform/Infra and Risk/Compliance functions.
Strong analytical skills with metrics/OKR fluency; adept at turning raw signals into decisions and actions.
Excellent facilitation and communication skills; bias for clarity followthrough and stakeholder trust.
PREFERRED QUALIFICATIONS
Working literacy in AI/ML and LLM/GenAI delivery patterns (evaluation coverage guardrails SDKservice parity) to anticipate dependencies and readiness needs.
Familiarity with cloudnative SDLC (CI/CD observability SLOs) and architecture documentation practices (ADRs C4 sequence diagrams).
Experience in regulated or highassurance environments (healthcare pharma finance) with auditready documentation and change control.
Handson with work management and knowledge tools (e.g. Azure DevOps/Jira Confluence/Notion data viz/BI for dashboards).
Background in headcount planning vendor/SOW coordination or financial tracking in partnership with Finance/Legal.
