About the role
The Trip Coordination Specialist supports the end-to-end delivery of travel programs for leisure and corporate clients. Youll manage the logistics that make each trip run smoothly from researching options and confirming bookings to preparing itineraries and handling day-of changes. This role blends operational accuracy with proactive client service and works closely with suppliers colleagues and travellers to ensure excellent outcomes.
Key Responsibilities
- Coordinate bookings for flights accommodations ground transportation transfers and local activities.
- Build clear client-facing itineraries and travel documents; verify all timing connections and supplier confirmations.
- Serve as a main point of contact for travellers vendors and internal teams to communicate updates special requests and changes.
- Monitor reservations and proactively manage schedule disruptions rebookings or cancellations.
- Maintain accurate records of reservations payments invoices and passenger manifests in booking systems and internal databases.
- Assist with vendor negotiation for group or repeat bookings and secure optimal value within policy.
- Support pre-departure checks on-trip coordination (remote or on-site as required) and post-trip reconciliation.
- Contribute to process improvements that increase efficiency accuracy and client satisfaction.
Requirements
- 1 years experience in travel coordination hospitality events customer service or a related administrative role preferred.
- Strong organizational skills and the ability to manage multiple trips and deadlines concurrently.
- Excellent verbal and written communication skills and a client-focused attitude.
- Sharp attention to detail and the ability to troubleshoot under time pressure.
- Basic computer skills required (Microsoft Office especially Excel and Word email and internet research). Familiarity with booking platforms reservation systems or a CRM is an advantage.
- Flexibility to work occasional early/late hours to support departures arrivals or supplier time zones.
- Professionalism discretion and the ability to build productive relationships with clients and vendors.
