Sales & Events Manager
For its 150 year history the Stagecoach Inn has welcomed Texas travelers with a penchant for small towns state history and hometown watering holes. The Stagecoach Inn and Restaurant are an architectural time capsule. With 48 guest rooms 5 indoor event spaces and an expansive pool and outdoor pavilion the hotel will continue to be a gathering place for people from near and far.
The Sales & Events Manager ensures exceptional customer service and internal communication through a group or events entire lifecycle from generating or receiving a lead till the group or event has departed and receives its final bill. This includes duties such as client communication planning every detail an event creating food and beverage menus with the F&B team lead generation & community involvement being available for property tours and coordinating details & expectations with team members.
Responsibilities
Sales:
Coordinate site visits & property tours with potential clients
Responsible for the entire sales process: prospecting (inside & outside) lead response negotiating contracting and ensuring all contractual obligations are upheld by all parties
Communicate expectations with the operations teams
Schedule familiarization trips for meeting professionals
Host Site Visits
Responsible for achieving all sales goals
Oversee the entire master calendar of events
Responsible for scheduling & planning Stagecoach-hosted community events in conjunction with F&B colleagues
Events:
Filing system to keep track of:
Invoices
Receipts
Finalized Contracts
Final Proposals
Deposit Slips
Copy of Checks
Client Payment Schedule
Payment reminders sent to client to track and collect all scheduled deposits
Payments
Send deposit reminders/ invoices
Responsible for holding payments until deposits are made in a timely manner
Make deposits at the bank
Follow up regarding receipt of payment with Director of Sales / Marketing
Send client payment receipts
Schedule Tastings:
Share final menu selection with F&B leaders
Staffing
Schedule confirm and oversee contract labor for event staffing
Monitor RSVP list for hosted events
Vendors
Establish relationships with potential vendors
Create floor plans
For client review
For maintenance and staff working the event
Final guest count from client & appropriate billing to support final numbers
BEO creation and distribution to all departments within the hotel
Final payment
Send final payment invoice to client
Deposit payment
Send final payment receipt to client
Menu research curation and development in conjunction with F&B leaders
Event Planning:
Check in rental inventory
Checklist of items brought in by client
Print out BEO for the staff working the event
Help set up the event space / verify floor plan diligently
Communicate with and meet the vendors at load in
Work the floor (Front and Back of House)
Tend to the client
Tend to guests
Provide clear and detailed event planning and execution documentation (BEOs diagrams etc.) for management set up and service team
Manages on-site events as needed
Manage guest list and seating charts for the client
Ensure the event is running smoothly and communication between all pertinent departments is cohesive
Keep the staff committed to the timeline created for proper service
Maintaining Food & Beverage integrity as served
Proposes new ideas to improve event planning
Perform other duties as directed and assigned

Requirements
Some restaurant experience and interest in or knowledge of beer wine and liquor
Experience in a fast-paced team oriented fine dining restaurant is preferred
Ability to professionally represent hotel and restaurant
Must be able to work nights and weekends as required by the business
Minimum of two years of hotel/restaurant/venue experience in a high-volume fast paced environment.
Event planning and coordination experience preferred
High school graduate or GED. Some college or technical education preferred
Other physical and / or special requirements
Standing or walking for long periods of time
Climbing stairs on a regular basis
Using stepladders
Frequent bending and lifting weight up to forty pounds

Base salary of $50000
Quarterly sales commission is paid out with the achievement of set goals
Eligible for additional administrative fee on events
