Reporting to the Director Lloyd Upgrader the Operations Administrative Assistant will be responsible for providing general administrative support to the operations teams. The successful candidate will have strong organizational and communication skills and demonstrate the ability to work in a dynamic environment with a high level of productivity.

Work Environment:

  • This position is located in Lloydminster and requires the successful candidate to live in the area

  • This is a full-time employee position

What youll do:

  • Provide calendar and inbox management support to leaders and coordinate meetings with internal and external stakeholders including handling all logistics technology setup and guest reception.

  • Manage office administration activities such as team meeting coordination maintaining contact lists and files processing expenditures and overseeing stationery and supplies.

  • Arrange domestic and international travel manage conference bookings and prepare and reconcile expense reports.

  • Assist with budget planning invoice processing and tracking to ensure effective use of recognition training and discretionary budgets.

  • Maintain and continuously improve team SharePoint sites ensuring proper access organized file structures and effective document retention.

  • Support lobbying reporting requirements coordinate team-building and milestone recognition activities and manage logistics for new hires employee changes office moves and technology needs.

  • Assist with overtime scheduling for the Operations Team

Who you are:

Our ideal candidate will have the following minimum requirements:

  • Legally authorized to work in Canada

  • High school diploma or an associate degree in office/business administration (or equivalent work experience in lieu of a degree).

  • Minimum of 2 years of administrative experience ideally supporting leaders with the proven ability to handle sensitive and confidential information.

  • Strong organizational skills with the ability to prioritize follow up and meet deadlines in a fast-paced dynamic environment.

  • Excellent verbal and written communication skills with the ability to interact effectively at all levels of the organization and with external partners.

  • Demonstrates tact sound judgment and strong problem-solving skills; experienced with Concur OpenInvoice and SAP.

  • Proactive self-disciplined and able to work independently while maintaining high productivity and adapting to changing priorities.

As this position has been identified as safety sensitive employment of a final candidate selected for this position will be conditional upon successful completion of required pre-employment medical and alcohol/drug assessments.

For this position you will be required to maintain a Class 5 drivers license a satisfactory driving record and adhere to the appropriate Company policies and guidelines. A drivers abstract will be one of the background checks requested in the pre-employment screening for the final candidate.
