Job Summary

The Records Compliance Manager (RCM) is responsible for designing and managing a robust program of managing university records from their active phase while they are still in use by departments around campus to their transition to archival collections in compliance with relevant university policies and state retention schedules and federal laws. They will also contribute to systems and initiatives for digital preservation and database management improving content and the operations of those as time allows. This position reports to the Assistant Dean of Special Collections and the Gallery and works closely with Responsible Officials.

Duties and Responsibilities:

Manages multiple spaces around campus to store records ordering supplies and ensuring safe storage conditions in compliance with accepted professional standards. Advises departments on the creation of retention schedules guiding the retention and destruction of records for functional areas throughout the university referencing relevant state and federal law. Coordinates transfer retrieval & destruction services for University records. Works with Archives staff managing records metadata and creating an audit trail to document the movement of University records through their lifecycle. This takes place in digital and hard copy formats.

Provides training consultations and services to assist responsible individuals named in our policy in upholding the University-wide Records Management practices in handling administrative records including: identifying & applying record retention requirements; electronic records management; file storage management; file naming conventions; and records storage and retrieval. Maintain the records management tools website and conduct outreach activities. They will stay abreast of changes in this quickly developing field.

Manage digital storage repositories develop and guide workflows for digital preservation and database management improving content and the operations of Archives space or other software/systems.

Contribute to departmental policies across archives museum collections and records management to ensure proper handling of both digital and physical institutional records.

Required Qualifications:

- Masters degree - Field of study: Library Science or very closely related to Archival work
- Records Management experience in a university may substitute for the above.
- 1-3 years of related experience required
- Demonstrated ability to put the training and experience to practical use.
- Facility with Excel and MS Office are required.
- Ability to query database and manage large amounts of data required.
- Knowledge of archival management systems required.
- Needs to be able to conduct a records survey estimate space needs for materials and anticipate needs for supplies space and labor.
- Be alert to and able to make recommendations on historic value be able to apply general retention guidance to specific situations.
- Schedule reliability is essential along with working in a team environment.
- Excellent written and oral communication skills are necessary.

Desired Qualifications:

Prior experience in Records Management is preferred. Formal RM coursework can substitute.
Knowledge of Access is desired.

Salary Range:

56000 - 77000

Exempt/Nonexempt:Exempt
