Job Summary

Job Summary

Provides administrative support work in assisting district administrators in planning coordinating monitoring and facilitating administrative actions and processes.

Duties Specific to the Federal Programs Department:

  1. Review of schools budget to ensure appropriations balance school allocations and are in alignment with the grant project guidelines.
  2. Provide technical assistance to school administrators/bookkeepers for the successful implementation of the grant project.
  3. Provide assistance to schools with questions/inquiries regarding grant project guidelines school templates school plans and supplemental spending.
  4. Review and resolve payroll suspense issues.
  5. Review substitute invoices enter overrides and budget transfers
  6. Review and approve purchase requisitions &PCFsin alignment with approved school templates and parent involvement budgets.
  7. Coordinate with support staff to ensure purchase orders are fulfilled and completed.
  8. Coordinate with budget and HR to support schools with positions included on approved state plans.
  9. Prepare journal entries (JEs) as needed
  10. Complete payment processes in alignment to local state and federal requirements and in alignment to the approved grant project.
  11. Maintain & update files for audit purposes.
  12. Other duties as needed for the fulfillment of grant compliance

Probation:Six (6) months


Qualifications

Open requirements:Four (4) year combination of education training and experience in administrative work or related area.

Licensing:Depending upon assignment a valid Florida Drivers License may be required prior to appointment and must be maintained during employment in this class.

Knowledge Skills and Abilities

  • Knowledge of administrative practices methods and procedures relating to administrative support areas
  • Knowledge of research and statistical methods and techniques
  • Strong word processing spreadsheet database diagramming and/or presentation software skills
  • Strong oral written and interpersonal communication skills
  • Strong data research compilation analysis and presentation skills
  • Strong calculator personal computer fax and office equipment operation skills
  • Ability to resolve work related problems or complaints
  • Ability to use judgment in search for solutions or improvement to work processes
  • Ability to coordinate work activities
  • Ability to research and compile data prepare written reports and correspondence
  • Ability to interpret laws rules and regulations
  • Ability to operate standard office equipment such as personal computers copiers fax machines and related equipment
  • Ability to read understand and apply job-related rules policies and procedures
  • Ability to prepare reports
