Linn County is seeking an experienced individual to fill our Office Specialist 3 vacancy. This position provides high-level administrative bookkeeping and program support to a major department. This position is ideal for someone who is highly organized detail-oriented and confident working with financial records spreadsheets and complex office workflows.
Job Summary
As a key member of the team you will support management help oversee office processes maintain financial documentation and ensure the department runs smoothly on a day-to-day basis. Specifically:
Bookkeeping & Financial Support (Primary Focus)
Maintain accurate records of financial transactions.
Process verify and reconcile daily receipts balance cash flow.
Audit computer-generated financial reports and work with digital financial records.
Assist with departmental budget preparation and expenditure tracking.
Prepare maintain and update fiscal payroll and personnel documents.
Coordinate and oversee clerical processes and workflow in the office.
Provide advanced administrative support to department heads or professional staff.
Draft format and edit correspondence; prepare documents.
Establish and refine office procedures to keep operations efficient.
Independently handle routine administrative and technical matters.
Assist the public and employees by responding to inquiries requiring detailed knowledge of department policies and procedures.
Prepare purchase orders and manage contracts for the department.
May supervise and train clerical staff.
Participate in hiring performance evaluations and scheduling.
Help maintain a positive collaborative work environment.
Minimum Qualifications
REQUIRED SKILLS AND QUALIFICATIONS:
Strong bookkeeping skills including auditing balancing receipts and maintaining financial records.
Intermediate to advanced Excel skills (formulas data entry accuracy sorting/filtering basic spreadsheets for tracking budgets or transactions).
Considerable knowledge of general office practices and procedures.
Excellent written communication grammar and document preparation skills.
Ability to manage confidential information with professionalism.
Strong customer service skills including tact and judgment when working with the public.
Ability to work independently prioritize tasks and complete assignments with minimal supervision. Ability to multi-task is essential.
Proficient with computers office software and standard office equipment.
EXPERIENCE EDUCATION AND TRAINING:
Graduation from senior high school and three years of progressively responsible administrative experience with some exposure to supervision if required by position or any satisfactory equivalent combination of experience education and training which demonstrates the ability to perform the work described.
Preference will be given to candidates with bookkeeping accounting and advanced Excel experience.
Possession of a valid motor vehicle operators license and an acceptable driving record at the time of appointment is required.
