Reporting to the Associate Director of Admissions and Enrollment the Enrollment Counselor will work with prospective students applicants and continuing students daily via phone email text web chat or in person and guide them through the admissions and enrollment processes helping them understand their degree program options and lead them through the various admissions processes and through registration for classes. The Enrollment Counselor will also work closely with Academic Advisors as prospective and continuing students navigate the enrollment and admissions processes.
DUTIES AND RESPONSIBILITIES (including but not limited to):
Essential Duties:
Admissions & Enrollment Management
- Implement strategies to move individuals through the admissions pipeline: prospects applicants admitted students enrolled students.
- Facilitate conversion of incomplete applications to completion through proactive email and phone communication.
- Coordinate admission reviews including interview scheduling interview day logistics rubric updates and faculty review processes.
- Enter admissions decisions and registration/advising information into CRM systems for transfer to the student information system.
- Manage admission reviews for dual degree applicants in collaboration with Graduate Program Directors and admissions staff.
- Oversee processes related to Leave of Absence expired conditional/provisional matriculations matriculation time limits and program changes.
Collaboration & Communication
- Consult with Graduate Program Directors regarding applicant questions concerns and challenges.
- Facilitate connections between Graduate Program Directors and prospects applicants and admitted students.
- Partner with Enrollment Services to address issues related to admission enrollment and retention.
- Work closely with the Associate Director to support enrollment growth retention strategies and initiatives aligned with departmental goals.
Systems & Data Management
- Enter and maintain application information in Slate CRM and CAS systems including data entry document scanning and communication uploads.
- Provide training for faculty and reviewers on CRM and CAS systems.
- Run reports from CRM systems and manage data imports/exports across platforms.
- Update application and admission information on university websites and conduct online research on academic programs.
- Conduct and compile results of Admitted Student Surveys to inform program improvements.
Secondary Responsibilities:
- Conduct annual reviews of application and admission materials with Graduate Program Directors and admissions staff updating as needed.
- Represent the university at external recruitment fairs and events.
- Collaborate with the University Relations team to develop recruitment and marketing materials.
- Perform other job-related duties as assigned or directed to support departmental needs and align with the mission values and goals of Enrollment Management.
MINIMUM QUALIFICATIONS (education/training and experience required):
Required:
- Bachelors degree in Counseling Education Marketing or related field or an equivalent combination of education and professional experience may be considered.
- Minimum of 2 years of experience in a relevant role (e.g. admissions student services enrollment online management customer service or office support).
- Experience working with Learning Management Systems (LMS).
- Proven ability to communicate and collaborate effectively with internal and external stakeholders.
- Strong organizational skills with the ability to manage multiple projects and plan effectively.
- Excellent oral written and interpersonal communication skills.
- Knowledge of FERPA regulations and demonstrated commitment to confidentiality.
Preferred:
- Masters degree in Communications Counseling Higher Education Social Work or a related field.
- Demonstrated experience with Canvas LMS.
- Prior experience in University admissions processes.
- Knowledge of accreditation standards in human services and mental health fields (e.g. CSWE CACREP APA).
PHYSICAL REQUIREMENTS AND/OR UNUSUAL HOURS:
- Standard office environment with frequent walk-in traffic and a high level of interaction with colleagues students and visitors both in person electronically and by phone.
- Mobility between workstation and various campus buildings.
- Occasional travel within a 100-mile radius; overnight travel is not anticipated.
- A valid drivers license.
- Flexibility to work occasional evenings and weekends as needed.
