Position Summary
Reporting to the Senior Manager (professional development) the Volunteer Engagement Coordinator will manage the volunteer tutor training contracts provide support to volunteer tutors and deliver technical assistance to providers to help them utilize volunteer tutors effectively. The Volunteer Engagement Coordinator will work closely with the Senior Professional Development Manager to maintain the learning management system and run training events. Knowledge of Citywide VAN database is important. A key duty will be to expand the program so Adult Education Philadelphia can serve more residents in need of adult education services.
Essential Functions
Recruitment
- Maintain and grow volunteer base through outreach to individuals community-based organizations and groups colleges/universities and corporations as needed.
- Work closely with adult education providers the Philadelphia Free Library and others to periodically assess needs for volunteer expertise and level of volunteer staffing.
- Expand the program through relationships training and innovative tactics.
Training
- Manage comprehensive orientation process for new volunteers that includes:
- Information session about volunteering with adult education providers (manual website)
- criteria for involvement (based on existing needs)
- update manual and website as necessary
- Plan and execute volunteer appreciation and training activities.
- Participate in special event planning; participate in events as needed.
- Engage with existing volunteers and provide feedback and additional guidance as needed.
- Work occasional Saturday upon request.
Placement
- Develop and maintain process to
- review applications check references and interview potential individual volunteers.
- assess interests/skills of volunteers and match with appropriate activities.
- Work closely with all program and department managers to ensure that:
- volunteer positions are sufficiently filled to meet identified needs and
- volunteers enjoy a positive experience.
- Serve as liaison between Adult Education Philadelphia adult education providers and the Philadelphia Free Library and individual volunteers.
- Serve as an ambassador for Adult Education Philadelphia in relations with volunteers and organizations.
Tracking
- Use Citywide VAN database for tracking volunteer activity
- Maintain volunteer database that also captures volunteer stories and quotes.
- Develop and administer annual volunteer satisfaction survey; compile and report results to Executive Director
- Provide accurate and timely volunteer data for funder and volunteer-requested reports.
- Maintain ongoing communications with volunteers through email news blasts newsletters and print materials.

- 3-plus years in a coordinator or administrative position in a nonprofit organization foundation or government agency
- Associates degree or equivalent experience
- Experience using a database management system preferred
- Experience in the field of adult education and digital skills preferred
- Knowledgeable about Philadelphias adult education landscape
- Proven ability to work with efficiency flexibility and good humor
- Demonstrated ability to build and maintain relationships with people from diverse backgrounds
- Excellent organizational verbal and written skills
