We are looking for a highly organized proactive and business-minded Executive Operations & Finance Coordinator to support our management team and ensure smooth operational financial and administrative execution across the company.
This is a strategic and central role offering USD-based compensation and direct exposure to senior leadership and global operations.
Tasks
Your Mission: What You Will Own
You will be the operational and financial backbone supporting our leadership and global activities. Your responsibilities fall into four key areas:
1. Executive Support & Operational Coordination
- Manage complex calendars and schedule meetings across multiple time zones.
- Ensure managers are fully prepared with agendas reports and briefing files.
- Track ongoing projects summarize follow-ups and ensure deadlines are met.
- Maintain structured and clear communication between departments and leadership.
2. Financial Operations & Reporting
- Prepare and issue client invoices accurately and on time.
- Track payments follow up professionally on overdue accounts and maintain billing logs.
- Support financial reporting budget tracking and audit preparation.
- Handle confidential documents with professionalism and discretion.
3. Administrative & Internal Support
- Organize and maintain internal records documentation and workflows.
- Coordinate with sales projects and finance departments on cross-functional tasks.
- Assist in preparing commercial files contracts and presentations.
- Manage digital filing systems and ensure data accuracy.
4. Client & Stakeholder Coordination
- Act as a professional point of contact for clients partners and service providers.
- Support relationship management with timely updates and follow-through.
- Arrange international travel (flights accommodation itineraries) when needed.
Requirements
What You Bring to the Team
Essential Requirements
- Bachelors degree in Business Administration Management Finance or a related field.
- 25 years of experience in an executive assistant operations coordinator or finance/admin role.
- Excellent communication skills and a polished professional demeanor.
- Exceptional organizational skills with strong attention to detail.
- Proficiency in Microsoft Office (especially Excel) and cloud tools (SharePoint Teams).
- Based in Lebanon with a reliable remote work setup.
- Ability to work across international time zones when needed.
