The Office of Governmental Relations is seeking an Operations and Engagement Coordinator. The Operations and Engagement Coordinator supports the University of Iowas public outreach and institutional engagement activities by overseeing day-to-day operational workflows managing program documentation and coordinating logistics across a range of internal and external initiatives.
Primary responsibilities include managing internal workflows supporting documentation and data tracking and coordination of the day-to-day operations. The role also contributes to the planning and delivery of events.
This position is well-suited for a thoughtful inquisitive professional who brings strong organizational skills attention to detail and the ability to manage multiple responsibilities efficiently. The ideal candidate is driven by the quality of their work and a desire to contribute meaningfully to the universitys public mission.
Key Areas of Responsibilities
Information Management
- Maintain organized records of programs participation and project deliverables.
- Track engagement activities document stakeholder interactions and support internal reporting needs.
- Assist with development and maintenance of dashboards internal reports and digital documentation systems.
- Ensure compliance with university standards for recordkeeping and data accuracy.
Operational Support and Management
- Provide logistical and administrative support for projects and outreach initiatives aligned with the universitys public engagement goals.
- Manage and maintain internal workflows that support engagement programs and institutional outreach efforts.
- Track deadlines task lists and timelines across multiple internal stakeholders.
- Support coordination across departments and assist in aligning operational tasks with broader program goals.
Public Relations
- Coordinate logistics for events such as Hawkeye Caucus Day the UI booth at the Iowa State Fair and campus visits by public officials or community leaders.
- Manage space reservations schedules catering materials preparation and on-site logistics in collaboration with internal partners.
- Provide clear communication and support to campus participants and guests.
- Serve as a point of contact for students faculty and staff interested in participating in university engagement opportunities.
Message Development and Implementation
- Draft and edit event descriptions program materials digital content and other communications.
- Help manage updates to the external relations website and informational resources.
- Coordinate formatting approvals and distribution of materials across appropriate channels.
- Ensure communications are timely accurate and aligned with the universitys institutional voice.

Required Qualifications
- Bachelors degree in public affairs communications event management higher education or a related field; or an equivalent combination of education and experience.
- 1-2 years of relevant professional experience in program coordination communications operations or events.
- Demonstrated ability to manage multiple responsibilities and competing deadlines with accuracy.
- Strong communication skills including writing editing and verbal communication.
- Proficiency with office and collaboration tools such as Microsoft Office.
Desirable Qualifications
- Experience working in higher education nonprofit or public-sector settings.
- Familiarity with institutional communications project coordination or community engagement.
- Experience supporting public events multi-stakeholder projects or digital content updates.
- Comfort with tracking and reporting engagement metrics and maintaining accurate documentation.
- Experience working with design tools such as Adobe Suite.
- Experience working data and mapping tools such as PowerBI and ArcGIS.
