Our US Team is growing and we are looking for a versatile Office Manager who will play a key role in supporting our U.S. operations and sales leadership.

Overview

This is a multi-faceted position that combines the responsibilities of Office Manager Personal Assistant to the VP of Sales Administrative Assistant and Bookkeeper. You will be the backbone of the U.S. office ensuring smooth operations supporting business growth and representing the company with professionalism and care.

Key Responsibilities

Office & Administrative Management

Keep the office neat tidy and well-organized.

Manage incoming calls emails and correspondence; ensure timely follow-up.

Draft professional business communications and reports.

Schedule meetings prepare notes and track follow-up actions.

Support logistics and shipping activities when needed.

Executive & Sales Support

Act as Personal Assistant to the VP of Sales: manage calendars travel and client communications.

Support sales activities proposals and CRM updates.

Assist with marketing tasks presentations and light design support.

Bookkeeping & Finance

Maintain bookkeeping and invoicing using QuickBooks.

Track expenses payments and vendor contracts accurately.

Support tax preparation and reporting.

Prepare monthly financial overviews for management.

Proficiency in QuickBooks; tech-savvy with ERP/CRM systems.

High attention to detail in financial and contract-related tasks.

Discreet and trustworthy when handling sensitive information.

Nice-to-Haves

Advanced Excel skills

Knowledge of corporate taxes.

Experience with ERP and CRM platforms.

Caring approachable personality with team spirit.
