Position Overview:
We are seeking a highly organized and proactive Executive Secretary to support Chief Financial Officer (CFO). The Executive Assistant to the CFO will play a crucial role in managing the day-to-day operations of the CFOs office. The ideal candidate will be responsible for providing comprehensive administrative and secretarial support to the CFO ensuring efficient operation of the office. This position requires exceptional organizational skills and strong communication abilities and the ability to handle sensitive information with discretion.
Key Responsibilities:
- Administrative Support: Manage the CFOs calendar schedule meetings and coordinate travelarrangements. Prepare and organize materials for meetings and presentations.
- Communication: Serve as a point of contact between the CFO and internal/external stakeholdersensuring effective communication and timely follow-up on action items with professionalism andconfidentiality.
- Meeting Coordination: Organize and prepare materials for meetings including agendas minutes andfollow-up actions.
- Document Management: Prepare review and edit reports presentations and other organized files and ensure compliance with company policies.
- Project Coordination: Assist in the planning and execution of special projects tracking deadlines anddeliverables.
- Confidentiality: Handle sensitive information with integrity and maintain the highest level ofconfidentiality regarding corporate matters.
Required Qualifications :
- Bachelors degree with preference in Business Administration or a related field.
- 5 years experience as a personal assistant executive assistant or similar role.
- Excellent written and verbal communication skills.
- Proficient in Microsoft Office (Excel PowerPoint Word).
- Attention to detail and accuracy.
- Solid written and verbal communication skills.
- Multitasking and time-management skills with the ability to prioritize tasks and meet deadlines.
- Discretion and confidentiality in handling sensitive information.
