What youll be doing
In this role you will work remotely from Madrid on a 50% part-time schedule and you will be dedicated to on one of our key pharmaceutical clients to:
- Support project managers with reporting budget updates scheduling and overall admin coordination.
- Upload and maintain documents and data on platforms like Cvent ensuring accuracy and compliance.
- Keep all compliance requirements documented and up to date.
- Manage vendor contracts logistics and assist with venue travel and resource coordination.
- Maintain and improve structured reporting tools and organized project folders
Must haves
(We really mean it. Candidates who do not meet the following criteria will not be considered.)
- 5 years of relevant experience as Admin Assistant Project Assistant or Executive Assistant preferably in the event or hospitality industry.
- Knowledge of pharmaceutical/healthcare event regulations and compliance standards.
- Strong skills in Microsoft Office and digital event platforms (experience with Cvent is considered a strong asset).
- Fluency in spoken and written English & Spanish (no scrambled oeufs at egg svp.)
- Based in Madrid available from February 2026 and comfortable with remote work on a 50% part-time schedule.
Nice to haves
- Fluency in French (in addition to English and Spanish)
- Previous experieence in an event agency.
