Nelson City Council is seeking a highly organised and professional Personal Assistant to the Chief Executive to provide exceptional administrative and personal support to the Chief Executive.
This role is pivotal in ensuring the smooth and efficient operation of the Chief Executives schedule and office functions. Working at the heart of an organisation under the direction of the Chief of Staff you will contribute to the effective management of the Councils most senior executive office through high-quality coordination discretion and professionalism.
About the role Kō tēnei tūranga mahi
As the Personal Assistant to the Chief Executive you will play a key role in supporting the daily operations and strategic priorities of the Chief Executives Office supporting the Council embed its new ways of working.
Your responsibilities will include:
- Proactive diary and meeting management ensuring alignment with organisational priorities.
- Preparing and formatting meeting papers briefing material and correspondence.
- Coordinating travel arrangements and logistical requirements for meetings and events.
- Managing communication with internal and external stakeholders on behalf of the Chief Executive.
- Processing purchase orders credit card reconciliations and other financial administration tasks.
- Maintaining accurate records and correspondence in accordance with Council policies.
- Providing administrative support to the Chief of Staff and wider office as required.

You will be an experienced administrative professional who demonstrates a high level of integrity judgement and discretion. You will be agile and thrive in a fast-paced environment managing multiple priorities with accuracy attention to detail and humor.
To be successful in this role you will bring:
- Proven experience as a Personal Assistant or Executive Assistant supporting senior management.
- The ability to build and maintain positive working relationships across all levels of the organisation.
- Strong time management and organisational skills.
- Excellent written and verbal communication abilities.
- Advanced proficiency in Microsoft Office and document management systems.
- A calm and professional approach when handling confidential or sensitive information.
