GENERAL DESCRIPTION:


The Wyoming Department of Corrections Womens Center is an all-custody womens correctional facility located in Lusk Wyoming. This facility is seeking a Records and Data Specialist. This position provides records and data management support and analysis for WWC. It is responsible for Corrections tracking information systems and aids WWC through reports. This position will also have responsibilities in the ordering storage receiving and distribution of activities in the canteen facility supply and laundry areas as needed.

ESSENTIAL FUNCTIONS: The listed functions are illustrative only and are not intended to describe every function that may be performed in the job level.


  • Contributes by providing coordination support technical assistance research and guidance to the agency department project or program.
  • Monitors tracks and records all documentation relative to the agency program or project.
  • Maintain the database and monitor records.
  • Provide research and analysis and monitor data for policy issues that may require agency attention.
  • Provides information updates to appropriate personnel in the agency program or project.
  • Collect appraise inventory process conserve and manage documents and items of historic legal administrative and evidentiary significance and value to the State of Wyoming and its citizens.
  • Receives examines checks for accuracy and verifies that required data has been submitted for the pre-qualification of a variety of contractors.
  • Develops and generates various agency-required databases.
  • Verifies data.
  • Using agency-specific software establish workflow and best use of programs with regard to records and data for agency needs. May provide technical data support to the agency using this software.
  • Compiles reports for agency personnel.
  • Involved with records or data management for large projects programs and/or departments.
  • Creates presentations and comprehensive reports.
  • Explains policies procedures and practices to other agencies.
  • Arranges and describes permanently valuable records according to professional guidelines and practices to aid the retrieval of information & maintains the evidential value of records.
  • Monitors respective program(s) for compliance.
  • Assists in the Canteen Supply and laundry facilities to include ordering stocking and inventory control.
  • Assists in procurement activities.
  • Initiates procurement documents related to purchasing activities.
  • Researches and corrects discrepancies in inventory documents requisitions purchase orders etc.
  • Assists in maintaining acceptable inventory levels.

Qualifications


PREFERENCES:


Preference may be given to those with two (2) years of records and document management experience and strong skills in mathematics principles


KNOWLEDGE:


  • Knowledge of methods of agency-specific types of research.
  • Knowledge of respective agencies policies and procedures.
  • Knowledge of various types of computer programs
  • Knowledge of databases spreadsheets and purchasing system software
  • Knowledge of bid quote and award procedures.


MINIMUM QUALIFICATIONS:


Education:
Bachelors Degree (typically in Records or Data Management)
Experience:
0-2 years of progressive work experience (typically in Records and Data Management) with acquired knowledge at the level of a Records & Data Management Specialist I
OR
Education & ExperienceSubstitution:
3-5 years of progressive work experience (typically in Records and Data Management) with acquired knowledge at the level of a Records & Data Management Specialist I

PHYSICAL WORKING CONDITIONS:


  • Must be able to lift 25 pounds
  • Ability to stand to perform filing for up to eight (8) hours
  • Lifting/grasping up to 20 pounds without assistance on an occasional to regular basis
  • Walking on cement floors on an occasional to regular basis
  • Stooping bending kneeling and crouching on an occasional basis
  • Reaching on a regular basis
  • Typing/Repetitive motion on a frequent basis
  • Repetitive writing motion on a frequent basis
  • Talking/hearing on a frequent basis
  • Seeing: the visual ability to perform an activity such as analyzing data and figures viewing a computer terminal and extensive reading.
