Clifton is currently searching for an Administrative Assistant to join our Edmonton this office-based role you will provide professional and efficient administrative support to the local office and be a valued member of Cliftons Administrative Team corporately. Reporting to the Administrative Team Lead you will handle a variety of administrative tasks play a key role in ensuring the office runs smoothly and contribute to a positive and welcoming work environment. This position is perfect for a proactive task-oriented individual who is eager to contribute to our teams success and be part of a company that values growth and continuous improvement.

Key Responsibilities

  • Serving as the main point of contact for the office greeting employees and visitors positively and professionally answering and routing calls and managing incoming and outgoing mail and couriers.
  • Providing detailed and accurate administrative support including data entry document preparation report compilation and correspondence as needed.
  • Managing office supplies including coffee and stationary by monitoring inventory placing orders as needed and ensuring reception and common areas (e.g. copy room kitchen boardroom) remain organized and well-stocked.
  • Maintaining an efficient and effective digital filing system in line with Cliftons Quality Management System (QMS).
  • Booking meeting rooms coordinating corporate and social club events arranging catering and handling travel and accommodation requests as required.
  • Overseeing employee onboarding and offboarding logistics including workstation setup paperwork coordination office orientation and serving as a resource for new hires.
  • Collaborating with the Administrative Team and project managers to coordinate resources and support project delivery.
  • Performing other duties as assigned.

Required Qualifications and Experience

  • High school diploma or equivalent (GED) required; a certificate or diploma in business or administration is an asset.
  • Minimum of one (1) year of administrative experience in a professional office environment.
  • Experience managing office operations including reception supply management and meeting coordination.
  • Ability to handle confidential information with discretion and professionalism.
  • Proficiency in Microsoft Office Suite (Outlook Word Excel PowerPoint); experience with Zoom is an asset.
  • Exceptional written and verbal communication skills coupled with strong interpersonal abilities and a customer-focused approach.
  • Strong organizational and time management skills with a keen attention to detail and the ability to prioritize multiple tasks while meeting deadlines and maintaining a healthy work-life balance.
  • Results oriented with the ability to take initiative work independently and collaborate as part of a team.
  • Ability to conduct oneself in a professional and ethical manner.
  • Continued attention to safety and safe work environments with a strong workplace safety
