DESCRIPTIVE STATEMENT OF POSITION: | NPS seeks an experienced executive assistant to support the Assistant Superintendent in a challenging fast-paced role. The executive assistant will perform a variety of tasks to help keep long-term projects on track and also handle more urgent requirements in a timely manner. The ideal candidate should be responsive thoughtful detail oriented self-directed positive willing to learn and have strong written and verbal communication skills. The executive assistant will: - Assist in the preparation coordination and submission of private state and federal grants by organizing data preparing background information and supporting application development monitoring compliance and evaluation processes.
- Assist with departmental budgets and maintain accounting and budget records
- Maintain a purchase order system and receive and verify purchase orders against expenditures and budgets
- Support the Assistant Superintendent with district communications by drafting editing and publishing newsletters announcements and other public communications to ensure accuracy clarity and a professional presentation.
- Assist with managing the daily office needs of the central office and support activities as needed to work on district-wide projects
- Maintain effective communication between schools and the central office by accurately interpreting and conveying district policies procedures and expectations to support smooth operations.
- Collaborate with the Director of Health and Wellness to support departmental operations including grant coordination purchase orders reporting and other administrative tasks as needed.
- Assume a leadership role with course approvals and reimbursements lane changes and the tracking of professional development in Teachpoint
- Communicate frequently with members of the public school staff and committee members to provide assistance as requested

QUALIFICATIONS: | Qualifications: Minimum of five years of increasing responsibility with secretarial/office management experience. School district and/or experience with grant management are highly preferred. The Central Office is a busy location with frequent phone calls and visitors. These frequent interruptions require re-prioritization while being expected to meet deadlines. Knowledge Skills & Abilities: - Understanding of school and district programs procedures standards and experience working with public schools.
- Experience preferred with managing and/or researching federal state and local grants
- High level of proficiency in oral and written English language usage spelling business mathematics and communications
- Exhibits professionalism empathy and a commitment to positive relationships in all interactions with staff families and community partners.
- Ability to maintain confidentiality and handle matters of a highly sensitive nature with discretion and professionalism
- Ability to work independently and with minimum supervision
- Ability to organize and set priorities
- Ability to work effectively under pressure
- Ability to attend to detail and follow tasks through to completion
- Ability and willingness to learn specific software programs
- Ability to perform complex clerical projects and assignments
- Competency in typing word processing and transcription skills
While prior experience in education administration or grant coordination is preferred the district is willing to train the right candidate who demonstrates strong organizational communication and learning skills.
