The Company Manager serves as the central connection point of information for all aspects of hundreds of artist visits annually for Office of the Arts departments (Artistic Engagement Box Office Guest Experience Marketing and Production). The Company Manager provides critical day-to-day operational logistical and administrative support to the visiting artists and to OA including schedule management. The Company Manager is responsible for a high standard of care creating superior experiences and providing exemplary service for artists visiting and involved with Emerson College. The Company Manager supports the contracting and payment of artists for all productions residencies and events.

ESSENTIAL JOB DUTIES

Artist Management

  • Oversee operations for artists visits to Emerson College from around the world.
  • Manage travel and accommodation for visiting artists in line with contractual requirements and budgets by working with a large roster of artists agents and producers to secure arrangements.
  • Manage negotiate and clearly communicate artists extremely active calendar. Responsible for balancing requests for artists time with Emerson students press and the Boston community at large.
  • Create and manage budget lines pertaining to furniture and hospitality supplies procurement and maintenance. Work in collaboration with Emerson departments such as Facilities and Business Services to maintain artist housing and track maintenance requests for visiting artists.
  • Responsible for the quality of artists experience and ensuring that they feel welcomed supported and comfortable throughout their engagement.
  • Work with attorneys unions and artists to secure approval from USCIS for O and P visas for travel to the U.S. Handles a high volume of confidential information on artists behalf.
  • Provide a first point of contact for artists to resolve varied and non-routine issues. Researches prioritizes and follows up on artist concerns. Determines appropriate course of action referral or anticipates future issues. Requires strong multicultural awareness and emotional intelligence to communicate with artists from a variety of international locations.
  • Coordinate onsite coverage for artist support during press marketing performances and engagement events both in Emerson venues and at offsite locations.
  • On-call contact for visiting artist to assist with emergencies including but not limited to medical travel and housing emergencies.
  • Establish and manage relationships with vendors both internal and external to the College including but not limited to hotels transport services and physical therapists. Secure favorable rates and services process payments in a timely manner and maintain good standing.
  • Oversee compliance with COVID safety protocols and maintain adherence with the College state and local government and unions representing artists.

Financial and Contract Administration

  • Manage travel and accommodation budgets for all artist residencies presentations designated events and affiliated projects; tracking costs and providing reports to organization ensuring adherence to project budgets.
  • Write manage and prepare all union contracts (AEA SDC USA) for signature tracking and filing.
  • Manage and process all payments to artists for all productions and presentations designated events and affiliated projects. Oversees financial reporting process.

General Management Administration

  • Coordinate projects and strategic initiatives for General Management.
  • Assist in developing and coordinating the rollout of General Management policies and procedures to OA at large; makes recommendations for process improvement and efficiencies including contract tracking meeting coordination interdepartmental communication with artists etc.
  • Supervise Company Management Assistants.
  • Other duties as assigned.

QUALIFICATIONS Qualifications are deemed required or preferred and represent what is needed to effectively perform job.

  • Bachelors degree or equivalent experience required; Masters in Theatre or Arts Administration a plus.
  • 4-5 years previous experience in performing arts management or hospitality; experience as a company manager highly desirable.
  • Experience with contract drafting and negotiating in particular theatrical union agreements (AEA USA SDC) and related labor laws.
  • Experience interpreting budgets and payroll data.

KNOWLEDGE SKILLS AND ABILITIES May be representative but not all-inclusive of those knowledge skills and abilities commonly associated with the job.

  • Knowledge of USCIS applications for O and P foreign artists temporary employment visas.
  • Ability to work with artists and all levels of the organization with diplomacy caregiving and empathy. Avid understanding of and passion for the performing arts
  • Skilled project manager with the ability to hold both the strategy and detail aspects of a project.
  • Extreme attention to details and accuracy as well as problem solving skills.
  • Ability to navigate sensitive and confidential topics with care.
  • Candidates should be fluent in Google and Microsoft Office Suites.
  • First Aid/CPR training is a plus.
  • Highly resourceful team-player with the ability to also be extremely effective independently; strong ability to execute work broadly with a diversity equity and inclusion lens.
  • High degree of professionalism in dealing with diverse groups of people including senior executives staff faculty artists community leaders donors and community partners.
  • Strong verbal and written communication skills.
  • Make appropriate informed decisions regarding priorities and available time.
  • Ability to handle confidential matters in a highly professional and service-oriented manner.
  • Ability to respond with appropriate levels of urgency to situations and events that require quick response or turnaround often including night and weekend hours.
  • Ability to multi-task in a fast-paced environment.
  • Ability to work evenings and weekends required.

WORK ENVIRONMENT Environmental or atmospheric conditions commonly associated with the performance of the functions of this job.

  • Usual Office Conditions

This position is primarily a hybrid role with mandatory days in the office as needed. The hybrid arrangement will be made upon hire. Candidates must reside within a reasonable commuting distance of the Boston campus in order to ensure operational effectiveness.

Compensation: $64500.00 - $79000.00 annually commensurate with experience.

Grade of Position: 23-08E

Scheduled Weekly Hours: 36.25
