Job Summary

For Linklaters Global Solutions Warsaw we are currently recruiting for the HR People Services Advisor role.

Work arrangements:

Hybrid model work: 2 days per week from the office located next to Rondo ONZ

Contract: Employment contract with 3- month probation period

Working hours: The core working hours of the HR People Services team are between 9 -17.15 and 11-19.15.


About the Team

You will join Linklaters Global Solutions (LGS) as part of the People functiona strategically driven globally connected team dedicated to supporting our firms talent and culture. As HR People Services Advisor you will play a pivotal role in ensuring the effective delivery of high-quality HR services within the HR People Services (HRPS) team. Working in close partnership with the HRPS Team Leader you will help coordinate daily operations and support the professional development of the team as its remit expands. You will provide expert direction guidance and escalation support to HR Administrators and HR Assistants fostering a culture of continuous improvement and ensuring service level agreements are consistently met.

You will also collaborate with HR Managers offering support with complex HR cases and processes and applying your understanding of UK or other country employment law and best practice. Your contribution will be vital to maintaining operational excellence and to the ongoing evolution of the HRPS function.

As HR People Services Advisor you will:

  • Support the HR People Services Team Leader to deliver high-quality HR services in line with agreed service level agreements (SLAs).

  • Coordinate day-to-day activities within the HR People Services team providing support guidance and escalation for HR Administrators and Assistants.

  • Serve as the first point of contact for HR queries resolving straightforward issues independently and escalating complex matters as needed.

  • Advise employees managers and partners on HR policies processes and best practice with particular focus on UK employment law and consideration of other jurisdictions when required.

  • Assist HR Managers with complex or sensitive cases including occupational health referrals and regulatory matters.

  • Oversee and coordinate shared responsibilities across the team including management of case systems shared mailboxes and workflow processes.

  • Deliver accurate data analysis and reporting to support management decisions and monitor SLA compliance.

  • Ensure compliance with legal and regulatory requirements including UK Solicitors Regulation Authority registration processes.

  • Participate in quality assurance by reviewing case actions systems and documentation to minimise errors and uphold standards.

  • Lead and support continuous improvement initiatives optimising processes and promoting automation and effective use of HR systems.

  • Contribute to team development by coaching and training colleagues identifying learning needs and supporting onboarding of new responsibilities.

  • Deputise for the HR People Services Team Leader and provide cover for other Advisors as required.

  • Build strong relationships with stakeholders across HR and the wider firm contributing to firmwide projects and the evolution of HR processes.

  • Support practice groups and business teams with end-to-end HR activities including recruitment contract changes mobility leavers and secondments.

  • Champion a collaborative and learning-oriented team culture serving as a role model and coach.

Apply if you:

  • Have 3-5 years of professional experience in HR generalist or HR administration role covering the full employee lifecycle gained in a shared services model delivering HR support at scale.

  • Demonstrate strong technical understanding of HR processes policies and documentation.

  • Possess solid knowledge of UK employment law and HR best practice with the ability to apply guidance in practical cases.

  • Are confident using English at C1/C2 level to engage clearly and appropriately with stakeholders at all levels across the organisation.

  • Have experience using case allocation or management systems such as Workday ServiceNow Neocase or similar.

  • Manage HR records and processes accurately with close attention to detail.

  • Are highly organised capable of prioritising effectively in dynamic fast-paced environments.

  • Work collaboratively and adapt easily as part of a team.

  • Can coach develop and support team members effectively.

  • Have proven experience in a large or complex HR environment managing multiple responsibilities.

  • Are proficient in Microsoft Office applications including Word Excel and PowerPoint.

  • Bring a positive flexible approach to change with a record of contributing to process improvements and continuous learning.

  • Hold a degree-level qualification.

Desired requirements:

  • CIPD (Chartered Institute of Personnel and Development) qualification.

  • Additional language skills in Polish French or German.
